Job Posting Organization: The position is located within the Human Resources Unit of the Executive Office serving the Departments of Political and Peacebuilding Affairs (DPPA) and Peace Operations (DPO). The Executive Office is part of the Office for Coordination and Shared Services, which enables, directs, and coordinates departmental efforts to ensure effective integration and management of both Departments. The Department of Peace Operations (DPO) serves as a center of excellence for peace operations, focusing on preventing, responding to, and managing conflict, as well as sustaining peace in areas where peace operations are deployed. The Department of Political and Peacebuilding Affairs (DPPA) emphasizes five action areas in international peace and security" style="border-bottom: 1px dotted #007bff !important;">security, including sound analysis and early warning, conflict prevention, peacemaking, political crisis management, and sustaining peace through inclusive political solutions. The organization aims to prevent and resolve conflicts through collaborative political strategies.
Job Overview: The Human Resources Assistant will play a crucial role in the administration of human resource activities within the UN framework. This includes managing recruitment processes, promotions, transfers, and contract extensions. The assistant will be responsible for responding to staff inquiries regarding entitlements and conditions of service, maintaining attendance records, and ensuring compliance with Staff Rules and Regulations. The role also involves reviewing staffing tables and payroll reports, participating in candidate selection for various positions, and assisting in the onboarding process for new staff. The assistant will maintain HR-related automated systems, prepare reports, and provide general office support, including drafting and finalizing correspondence. The position requires a proactive approach to problem-solving and a commitment to gender equality in the workplace.
Duties and Responsibilities: The Human Resources Assistant will be responsible for a wide range of duties, including but not limited to: processing and monitoring human resource activities such as recruitment, promotions, and separations; responding to staff inquiries and providing advice on entitlements and administrative procedures; maintaining attendance records; reviewing staffing tables and payroll reports; participating in candidate selection processes; conducting reference checks and academic verifications; overseeing vacancy announcement files; processing requests for entitlements and claims; conducting induction and exit interviews; maintaining HR automated systems; preparing periodic reports; providing general office support; and performing other duties as required. The assistant must demonstrate professionalism, planning and organizing skills, and client orientation in all tasks.
Required Qualifications: Candidates must possess a high school diploma or equivalent. Having the UNHQ HR Partner certification is desirable. The role requires a minimum of seven years of progressively responsible experience in human resources management or related areas. This requirement is reduced to five years for candidates with a first-level university degree or higher. Experience in recruitment and contract management within the UN system is essential, along with familiarity with HR management tools such as Umoja and Inspira. Experience in an Executive Office or similar setting in the UN system is also desirable, and HR Partner Certification is considered an asset.
Educational Background: The minimum educational requirement for this position is a high school diploma or equivalent. Candidates with a first-level university degree or higher will have a reduced experience requirement, making them more competitive for the role. Additional certifications, such as the UNHQ HR Partner certification, are viewed favorably and may enhance a candidate's qualifications.
Experience: The position requires a minimum of seven years of progressively responsible experience in human resources management, administrative services, or a related area. For candidates with a first-level university degree or higher, the minimum experience requirement is reduced to five years. Relevant experience in recruitment and contract management within the UN system is mandatory, and familiarity with HR management tools like Umoja and Inspira is desirable. Languages: English and French are the working languages of the United Nations Secretariat. For this position, proficiency in English is required at UN Level II, which includes reading, writing, listening, and speaking. Knowledge of French is advantageous but not mandatory.
