Job Overview: The Technical Support Services Assistant plays a vital role in the Common Services Section (CSS) at the United Nations Campus in Bonn. This position is responsible for providing logistical, technical, and administrative support for the operation and maintenance of conference facilities. The assistant will ensure the smooth delivery of meetings and events, assist with information and communication technology (ICT), and provide cross-functional support to other services within CSS. The role requires hands-on technical support, oversight of key ICT and network systems, and contributions to the execution of large-scale, multi-agency events. The incumbent will work closely with the Administrative Associate and other team members to meet the operational demands of the UN Bonn campus, which hosts around 150-170 events annually, requiring high-standard conference and meeting facilities.
Duties and Responsibilities: The duties and responsibilities of the Technical Support Services Assistant include:
Technical Support and Maintenance of Conference Facilities: - Assist with daily operations, maintenance, and troubleshooting of conference room systems and technologies. - Support preventive maintenance and inspections of conference equipment and digital networks. - Assist in the installation and configuration of ICT and AV equipment in conference rooms. - Maintain and operate the UN Bonn digital signage system. - Provide basic IT and conferencing support, ensuring readiness of rooms and systems. - Maintain technical inventories, documentation, and service usage statistics. - Draft standard communications and support documentation related to technical operations.
Logistical and Administrative Support for Conference Operations: - Arrange room setup and readiness prior to events, including furniture arrangement and tech installation. - Provide hands-on physical assistance during events to address logistical or technical issues. - Coordinate with external vendors for conference-related goods and services. - Assist with AV and ICT equipment installation and monitor its functioning during conferences. - Manage conference bookings and associated administrative follow-up. - Maintain records of equipment, assets, and installations used in conference and ICT areas. - Assist with invoices, cost tracking, and accounting of conference services. - Support procurement processes related to conferencing and logistics.
Content and Information Services Management: - Support maintenance and updating of the UN Bonn intranet with relevant content. - Assist in managing content for digital signage and wayfinding systems. - Support content creation for conference facilities and CSS areas. - Ensure consistency in branding, content accuracy, and timeliness of signage displays. - Maintain internal documentation related to digital communications assets.
Cross-functional and Ad Hoc Support: - Liaise with other CS teams on infrastructure and maintenance projects. - Support emergency response or continuity efforts if required. - Contribute to continuous improvement initiatives related to conference services and shared infrastructure. - Assist with other administrative tasks as required.
Required Qualifications: The required qualifications for the Technical Support Services Assistant position include: - Secondary education with training or certificate in logistics, audio visuals, media technology, design, or ICT is required. - A university degree (Bachelor’s degree) in a relevant field is desirable but not mandatory. - A minimum of 5 years of experience in conference and event support, technical/logistical operations, or media technology/design is required if the candidate has secondary education or a relevant certificate. If the candidate holds a bachelor’s degree, a minimum of 2 years of experience is required. - Experience in at least two of the following areas is required: proficiency in digital tools and platforms, basic IT troubleshooting, content management systems (CMS), digital signage systems, video editing and post-production tasks, knowledge of audiovisual systems, and event organization.
