Job Overview: The position of Administrative and HR Support is crucial for the smooth functioning of the FAO Country Office in Hanoi, Vietnam. The incumbent will work closely with the FAO Emergency Centre for Transboundary Animal Diseases (ECTAD) and key stakeholders to provide comprehensive administrative, logistical, procurement, and human resources support. This role involves managing office operations, ensuring compliance with organizational policies, and facilitating effective communication within the office. The incumbent will also coordinate travel and logistics for staff and consultants, manage HR processes for national and international workforce, and contribute to a positive work environment. The position requires a proactive approach to problem-solving and the ability to multitask effectively in a dynamic setting.
Duties and Responsibilities:
Administrative and office management: The incumbent will be responsible for receiving, screening, and routing correspondence, maintaining filing systems, drafting and translating documents, and participating in meetings as an interpreter. They will oversee the office environment, manage inventory, and ensure compliance with organizational policies.
Travel and logistics coordination: The role includes assisting with travel arrangements, coordinating logistics for workshops and meetings, and providing on-site support for events.
HR support: The incumbent will coordinate hiring plans, manage recruitment processes, and oversee contract management for national and international staff.
Other duties as required: The position may involve additional responsibilities as assigned by supervisors.
Required Qualifications: Candidates must possess a university degree in Business Administration, Logistics, Human Resources, or a related field. A minimum of 5 years of professional experience in administrative, HR, and logistics roles is required, preferably within government agencies, international organizations, or the UN system. Candidates must be nationals of Vietnam and have a working knowledge of English and Vietnamese. Strong organizational, communication, and interpersonal skills are essential, along with problem-solving abilities and attention to detail.
Educational Background: A university degree in Business Administration, Logistics, Human Resources, or a related field is required for this position. Candidates must have their qualifications recognized by an institution accredited in the World Higher Education Database (WHED).
Experience: The position requires at least 5 years of professional experience in administrative, HR, and logistics roles. Experience within government agencies, international organizations, or the UN system is preferred, indicating a familiarity with the operational context of such organizations.
Languages: Candidates must have a working knowledge of English and Vietnamese. Proficiency in English, especially for written correspondence, is essential, while knowledge of additional languages may be considered an advantage.
