Job Overview: The Supply Chain Assistant (Assets Management) position at IOM South Sudan is a critical role that focuses on the management and oversight of the organization's assets within the country. The successful candidate will work under the overall supervision of the Head of Supply Chain Unit and directly report to the Supply Chain Officer. This role involves maintaining the fixed assets registry, ensuring the proper storage and security" style="border-bottom: 1px dotted #007bff !important;">security of assets, and conducting regular monitoring and inventory checks. The Supply Chain Assistant will also be responsible for supporting the disposal process of assets and managing insurance claims related to IOM assets. This position requires a proactive approach to asset management, ensuring that all assets are accounted for and maintained according to IOM regulations. The candidate will collaborate with various units within the organization to ensure effective communication and coordination regarding asset management.
Duties and Responsibilities:
Maintain the fixed assets registry, ensuring it is regularly updated with accurate information regarding the use and return of fixed assets borrowed by staff.
Support the appropriate storage, security, and maintenance of all fixed assets, coordinating with relevant technical staff for necessary repairs and upkeep.
Assist in conducting quarterly monitoring and the annual physical inventory of assets within the IOM Mission, preparing and submitting reports to the supervisor.
Keep and update the inventory list and tracking database of all IOM assets in the Mission, implementing procedures to manage and safeguard these assets and supplies.
Support the disposal process of assets in accordance with IOM Procedures.
Follow up on the insurance of IOM assets through a reputable insurance company, assisting in processing any claims as needed.
Tag all assets in the Mission with WAVE – FLEXIPRO asset codes, adhering to IOM regulations.
Maintain the IOM WAVE – FLEXIPRO asset database for the Mission, including tasks related to asset creation, modification, transfer, and disposal.
Keep updated copies of fixed assets registries from field offices, coordinating regularly with respective offices to ensure accuracy. 1
Undertake other duties as may be assigned by the supervisor or management.
Required Qualifications: Candidates must possess a high school diploma with a minimum of four years of professional work experience, or a Bachelor’s degree in Business Administration, Accounting, Logistics, Supply Chain Management, or a related field from an accredited academic institution with at least two years of relevant professional experience. Additionally, candidates should have experience providing support in logistics and familiarity with asset management policies and procedures. Proficiency in asset management software and tools, specifically WAVE – FLEXIPRO, is essential. Experience working collaboratively with staff across different units or departments is also required.
Educational Background: The educational background required for this position includes a high school diploma or a Bachelor’s degree in a relevant field such as Business Administration, Accounting, Logistics, or Supply Chain Management. The educational qualifications should be from an accredited institution, ensuring that candidates have a solid foundation in the principles of management and logistics that are applicable to the role.
Experience: The ideal candidate should have a minimum of two years of relevant professional experience if holding a Bachelor’s degree, or four years of experience if holding only a high school diploma. Experience in logistics support, asset management, and familiarity with asset management software is crucial. Candidates should also demonstrate the ability to work effectively with staff across various departments, showcasing strong teamwork and communication skills.
Languages: A thorough knowledge of the English language is required for this position, as it is essential for effective communication within the organization and with external stakeholders. Additional Notes: This position is subject to local recruitment, meaning that only candidates holding a valid residence and work permit for South Sudan will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and necessary authorizations by the relevant government authorities. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
