Job Overview:
The Warehouse & Fleet Assistant plays a crucial role within the Administration and Operation team, tasked with managing all responsibilities related to warehouse stock and asset management, as well as fleet and vehicle management. This position is essential for providing support to field teams through assessment, coaching, and accompaniment. The position holder will report directly to the logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer of the Field office, ensuring that all warehouse operations run smoothly and efficiently. The role encompasses a variety of functions including overseeing the receipt and storage of goods, maintaining accurate stock records, and ensuring compliance with health and safety regulations. Additionally, the assistant will coordinate vehicle movements, manage fleet operations, and ensure that all assets are properly maintained and accounted for, thereby contributing to the overall effectiveness of the organization's operations in the field.

Duties and Responsibilities:
The Warehouse & Fleet Assistant will be responsible for a comprehensive set of duties including:
  • Warehouse Management: Ensuring that all incoming goods meet requests and specifications, preparing Goods Receipt Notes (GRNs) in a timely manner, and ensuring that all goods are packed and stored properly and securely. The assistant will arrange store items logically, maintain stock tracking records, implement store management documentation, check for expiry dates, and ensure proper disposal of damaged or expired items. The assistant will also coordinate the loading and unloading of goods, initiate Purchase Requisitions at reorder levels, compile regular stock reports, and ensure compliance with health and safety procedures.
  • Fleet Management: Communicating with staff to schedule vehicle movements, assessing and planning routes, and assigning drivers. The assistant will supervise and coach drivers, monitor the physical security" style="border-bottom: 1px dotted #007bff !important;">security of motorized assets, perform diagnostic checks, review fuel and spare parts inventory, and maintain records related to fleet operations. The assistant will also prepare reports to assist in decision-making for effective fleet management.
  • Asset and Inventory Maintenance: Updating the asset register, participating in physical stock inventory checks, preventing stock discrepancies, and supporting the maintenance of all assets and equipment. The assistant will prepare documentation for tracking asset movement, support timely disposal of damaged items, and contribute to inventory and asset reports. Additionally, the assistant will liaise with maintenance staff for repairs and ensure proper handling of warehouse goods.

Required Qualifications:
Candidates must possess an Associate degree or BA Degree in Management, Purchasing and Supplies Management, Business Fields, or Pharmacy, or an International Equivalent in Business Administration or a related field. The position requires a minimum of 2 years of experience in managing store activities, preferably within an NGO context. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a team environment. Knowledge of warehouse management systems and fleet operations is essential, along with proficiency in Microsoft Office applications.

Educational Background:
The educational background required for this position includes an Associate degree or BA Degree in Management, Purchasing and Supplies Management, Business Fields, or Pharmacy. An International Equivalent in Business Administration or a related field is also acceptable. This educational foundation is critical for understanding the complexities of warehouse and fleet management, as well as the operational procedures necessary for effective performance in this role.

Experience:
The position requires a minimum of 2 years of relevant experience in managing store activities, with a preference for candidates who have experience working in non-governmental organizations (NGOs). This experience should include familiarity with warehouse management practices, inventory control, and fleet operations. Candidates should be able to demonstrate their ability to manage multiple tasks effectively and work under pressure while maintaining high standards of accuracy and efficiency.

Languages:
Fluency in English is mandatory, as it is the primary language of communication within the organization and for reporting purposes. Knowledge of local languages spoken in Ethiopia would be considered an asset, as it may enhance communication with local staff and stakeholders.

This position is based in Ethiopia and may require less than 10% travel.
