Job Overview:
The Operations Associate position is crucial for supporting the Operations Unit within UNDP Nepal. This role involves ensuring high-quality and accurate work in various administrative processes, particularly in human resources and procurement. The Operations Associate will work closely with the HR Analyst and Operations Manager to implement recruitment processes, maintain HR records, and provide logistical support for HR events. The position also emphasizes the importance of gender equality and social inclusion (GESI) in HR processes, ensuring a safe and respectful working environment. The Operations Associate will be expected to promote a client-focused approach and collaborate with various teams to ensure consistent delivery of operations services.

Duties and Responsibilities:
  • Support the HR Unit by implementing recruitment processes, maintaining staffing tables, and managing HR records. Provide administrative support for recruitment events and staff wellbeing activities. Conduct regular inductions for new joiners and maintain the UN Nepal Personnel Database System.
  • Assist in procurement processes for the HR Unit, including raising requisitions, tracking procurement activities, and ensuring timely payments to vendors. Maintain proper filing systems for procurement-related documents.
  • Facilitate knowledge building and sharing within the Country Office by updating mandatory training completion data and organizing staff training sessions.
  • Ensure GESI considerations are integrated into HR processes and create a safe working environment. Perform other duties as necessary for the efficient functioning of the office.

Required Qualifications:
Candidates must have a minimum of secondary education, with a first-level university degree in Management, Business Administration, or a related field being advantageous. A minimum of 6 years of relevant work experience with secondary education or 3 years with a bachelor's degree in operations, administration, finance, HR, or procurement support services is required. Candidates should possess excellent computer skills, particularly in MS Office applications, and have experience in human resources and administration, including recruitment processes and financial transactions.

Educational Background:
The minimum educational requirement for this position is the completion of secondary education. A first-level university degree (bachelor’s degree) in a relevant field such as Management or Business Administration is preferred but not mandatory.

Experience:
The position requires a minimum of 6 years of progressively responsible experience in operations, administration, finance, HR, or procurement support services at the national or international level. Candidates with experience in international organizations are preferred, particularly those with a background in human resources and administration.

Languages:
Fluency in English and Nepali is required for this position. Proficiency in additional languages may be considered an asset but is not mandatory.
