Job Overview: The Executive Assistant position is critical for ensuring the effective and efficient functioning of the Resident Coordinator's Front Office. The role involves managing the RC's schedule, logistical requirements, and protocol procedures, while maintaining confidentiality. The Executive Assistant will coordinate high-quality briefing materials, draft correspondence, manage travel logistics, and assist in organizing official events. This position requires a proactive approach to communication and coordination, ensuring that all tasks are completed in a timely manner and in accordance with UN standards. The Executive Assistant will also support the RC in human resources management and office administration, contributing to the overall success of the UN RCO's mission in Saudi Arabia.
Duties and Responsibilities:
Ensure effective and efficient functioning of the RC Front Office by maintaining the Resident Coordinator’s calendar, arranging appointments, providing protocol coverage, and ensuring logistical details for events.
Coordinate high-quality briefing materials for the RC, ensuring all correspondence meets UN standards.
Draft key correspondence, manage travel logistics, and maintain contact lists of high-level partners.
Assist in organizing official events and prepare checklists for relevant processes.
Provide effective communication support by maintaining a filing system, screening incoming calls, and organizing coordination meetings.
Support the RC in human resources matters, including documentation and travel arrangements.
Perform other relevant duties as assigned, ensuring all tasks align with the UN's goals and standards.
Required Qualifications: Candidates must possess a high school diploma or equivalent, with a relevant first-level university degree accepted in lieu of two years of required experience. Additional certification in administrative services, finance, accounting, audit, or human resources is advantageous. A minimum of seven years of progressively responsible experience in administrative services, finance, accounting, or related areas is required. Experience in managing resources and supporting senior officials is desirable, along with experience in data analytics or related fields.
Educational Background: Completion of a high school diploma or equivalent is required. A relevant first-level university degree may be accepted in lieu of two years of required experience. Additional certification in administrative services, finance, accounting, audit, human resources, or related areas is considered an advantage.
Experience: A minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or related areas is required. Experience in managing resources, including personnel and budget, to support communications and advocacy activities in a local context is desirable. Additionally, experience in supporting senior officials, such as Ambassadors or UN officials, is preferred. One year or more of experience in data analytics or a related area is also desirable.
Languages: Fluency in English and Arabic is required for this position, as these are the working languages of the United Nations Secretariat. Knowledge of another official UN language is considered an advantage. Fluency is defined as a rating of 'fluent' in all four areas: reading, writing, speaking, and understanding, while knowledge is rated as 'confident' in two of the four areas.
