Job Overview: The Movement Operations Assistant plays a crucial role in the organized movement of individuals requiring international migration assistance, which is a primary mandate of IOM. This position is essential for the effective coordination and execution of travel arrangements for migrants and refugees under IOM's auspices. The Assistant will work under the supervision of the Senior Movement Operations Manager and the Senior Operations Coordinator, focusing on scheduling and booking travel, ensuring compliance with travel requirements, and maintaining communication with stakeholders. The role requires a strong understanding of IOM's standard operating procedures and the ability to manage sensitive information with confidentiality and integrity. The Assistant will also be responsible for compiling and analyzing travel data, creating movement files, and processing movements within the global support functions of IOM.
Duties and Responsibilities: The Movement Operations Assistant will undertake various duties, including coordinating and scheduling travel for individuals, distributing Advance Booking Notifications (ABNs), and managing updates and cancellations. The Assistant will organize bookings in accordance with the Handbook of IOM Tariffs and standard operating procedures. They will compile and analyze descriptive statistics using the ATOMS system, prepare travel loan paperwork, and create movement data files for accountability. The Assistant will identify and assign escorts for vulnerable individuals, process movements within the global support functions, and provide regular updates on work progress. Additionally, the Assistant must demonstrate a thorough understanding of relevant SOPs and maintain professionalism in all interactions, ensuring compliance with IOM's Code of Conduct and data protection rules.
Required Qualifications: Candidates must possess a high school diploma with five years of relevant experience or a Bachelor’s degree in Business Administration or related fields from an accredited institution with three years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Experience in movement management and prior Movement Operations or transportation experience is a strong advantage, as is operational or field experience in refugee and migration-related issues.
Educational Background: The educational background required for this position includes a high school diploma or a Bachelor’s degree in a relevant field such as Business Administration. The degree must be from an accredited institution recognized by the UNESCO World Higher Education Database. Candidates with a high school diploma must have five years of relevant experience, while those with a Bachelor’s degree must have three years of relevant professional experience.
Experience: The position requires candidates to have a minimum of five years of relevant experience if they hold a high school diploma, or three years of relevant professional experience if they possess a Bachelor’s degree. Experience in movement management is essential, and prior experience in Movement Operations or transportation is highly advantageous. Additionally, operational or field experience related to refugee and migration issues will be considered a strong asset for applicants.
Languages: Fluency in English, both oral and written, is mandatory for this position. A working knowledge of another official UN language, such as Arabic, Chinese, French, Russian, or Spanish, is considered an advantage. IOM's official languages are English, French, and Spanish, and all staff members are required to be fluent in one of these languages. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
Additional Notes: This position is open to internal candidates and previous IOM employees only. The contract type is Special Short Term Graded, with an initial duration of six months and a possibility of extension up to nine months. The appointment is subject to funding confirmation and medical fitness certification.
