Job Overview: The People and Culture Assistant plays a crucial role in supporting the People and Culture functions within UNICEF Pakistan. This position is designed for individuals who are keen to contribute to the recruitment and placement processes, staff development, and overall organizational culture. The assistant will work under the close supervision of the People and Culture Officer, providing administrative, procedural, and operational support to ensure the efficient implementation of People and Culture functions. The role requires a proactive approach to managing recruitment processes, maintaining accurate records, and ensuring compliance with UNICEF's People and Culture regulations. The assistant will also engage in initiatives aimed at enhancing employee well-being and recognition, thereby contributing to a positive workplace environment.
Duties and Responsibilities:
Support business partnering by assisting in the development of initiatives that promote employee well-being and recognition schemes.
Advise clientele on changes to People and Culture processes under the guidance of the People and Culture Business Partner.
Prepare and circulate internal and external job advertisements.
Liaise with candidates throughout the recruitment process, ensuring timely communication and support.
Draft formal acknowledgment, offer, and regret letters for candidates.
Initiate and follow up on reference checks and academic verifications, ensuring all background checks are completed.
Maintain recruitment files and ensure all necessary documentation is prepared and organized.
Monitor the recruitment process lifecycle and provide updates to supervisors as necessary. 1
Prepare documents for job classification submissions to relevant offices, ensuring completeness and accuracy. 1
Maintain and generate automated databases containing People and Culture-related statistics and reports. 1
Perform various administrative duties, including scheduling appointments and maintaining electronic and paper records.
Required Qualifications:
Completion of secondary education, preferably supplemented by technical or university courses related to human resources or administrative support.
A minimum of 5 years of progressively responsible administrative or operational support experience, particularly in talent acquisition or human resources.
Strong organizational skills and attention to detail.
Ability to work collaboratively in a team environment and support diverse stakeholders.
Proficiency in using People and Culture systems and tools is an advantage.
Educational Background: Candidates should have completed secondary education, with additional technical or university courses related to human resources or administrative support being highly desirable. This educational background will provide the foundational knowledge necessary for effective performance in the role.
Experience: The position requires a minimum of 5 years of progressively responsible experience in administrative or operational support roles, particularly in the context of talent acquisition or human resources. This experience should demonstrate the ability to manage multiple tasks effectively, maintain high standards of accuracy, and provide support to various stakeholders within an organization.
Languages: Fluency in English is required for this position. Knowledge of another official UN language is considered an asset and may enhance a candidate's application, particularly in a diverse and multicultural environment.
Additional Notes: The contract type for this position is a Local ICA Support Contract at level LICA 5, with a duration of 6 months.
