Job Overview: The Protocol Assistant position is situated within the Publications & Conference Management Section (PCMS) of UNECA. The role involves providing essential support to the Chief of the Protocol and Liaison Services Unit, particularly in organizing meetings and events for high-level delegations. The Protocol Assistant will be responsible for liaising with government officials and managing accreditation and access issues for dignitaries. This includes coordinating logistics for major events, ensuring that all protocol requirements are met, and assisting in the overall management of the Protocol Unit's daily operations. The position requires a proactive approach to problem-solving and the ability to work under pressure while maintaining a high standard of professionalism. The Protocol Assistant will also engage in data collection and analysis, contributing to knowledge management and decision-making processes within the organization.
Duties and Responsibilities: The Protocol Assistant will undertake a variety of responsibilities, including but not limited to: supporting the Chief of the Unit in organizing meetings and events, coordinating with government officials and delegation representatives, managing participant lists and seating arrangements, preparing invitations and security passes, and ensuring that conference rooms are adequately prepared. The role also involves supervising the daily operations of the Protocol Unit, distributing tasks among Protocol Assistants, and reporting any protocol-related issues to the Chief of the Unit. Additionally, the Protocol Assistant will assist in liaising with specialized agencies and inter-governmental organizations, updating host country offices on protocol norms, and participating in briefings for newly arrived personnel. The position requires a commitment to maintaining accurate records and providing logistical support for all events organized by UNECA.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A minimum of seven years of progressively responsible experience in providing administrative and logistical support to foreign diplomats and expatriates is required. This experience should include handling visa processes, accommodation arrangements, and protocol services. Knowledge of administrative and operational support within the context of logistical and protocol services is desirable.
