Job Overview: The ICLA Technical Assistant position is designed to provide both technical and administrative support for the implementation of ICLA (Information, Counseling, and Legal Assistance) projects within the NRC's operational area. The role requires adherence to NRC policies and guidelines, ensuring that all tasks are organized and delivered according to established priorities and standards. The assistant will be expected to develop a strong understanding of the specialist area of work, enabling them to effectively support the team in achieving project objectives. This position also involves problem-solving and preparing status reports as required by management, ensuring that all documentation is properly filed and maintained. The assistant will play a crucial role in identifying protection risks and needs, drafting correspondence, providing secretarial support, and assisting beneficiaries with various applications and inquiries.
Duties and Responsibilities: The duties and responsibilities of the ICLA Technical Assistant include, but are not limited to:
Adhering to NRC policies, tools, handbooks, and guidelines while implementing procedures and activities independently.
Organizing and delivering tasks in line with priorities and standards.
Developing and maintaining knowledge of the specialist area of work to provide effective support.
Preparing and developing status reports as required by management.
Ensuring proper filing of documents and promoting ideas for improvement in the area of expertise.
Contributing to the identification of protection risks and needs in the context of program implementation.
Drafting letters to state authorities and stakeholders, considering local requirements.
Providing secretarial support, including data entry, taking minutes, and drafting letters and memoranda.
Attending meetings, keeping records, and reporting on discussions. 1
Assisting with the preparation of meeting minutes, reports, and presentations. 1
Managing incoming and outgoing calls to beneficiaries. 1
Assisting beneficiaries with filling out standard forms and applications. 1
Providing referral services and counseling for typical requests. 1
Managing the dissemination of information and educational materials. 1
Supporting data transfer using KoBo when requested. 1
Ensuring proper filing and storage of documents for case management. 1
Performing any other relevant duties as requested by the ICLA Project Coordinator.
Required Qualifications: The required qualifications for the ICLA Technical Assistant position include:
Experience working as an Assistant in a humanitarian or recovery context or in legal firms.
Previous experience in complex and volatile contexts.
Documented results related to the position's responsibilities.
Proven competence in business writing, research, and analytical writing.
A Bachelor's degree or higher in a relevant field.
At least 1 year of relevant experience.
Proficiency in MS Office applications.
Experience in the NGO sector is considered an advantage.
Educational Background: Candidates must possess a Bachelor's degree or higher in a relevant field. This educational background is essential to ensure that the candidate has the necessary theoretical knowledge and understanding of the legal and humanitarian frameworks relevant to the position.
Experience: The position requires at least 1 year of relevant experience, preferably in a humanitarian or legal context. Candidates should have experience working with displaced populations or in legal firms, demonstrating their ability to navigate complex situations and provide effective support to beneficiaries.
Languages: Fluency in both written and spoken Ukrainian is mandatory, as well as good written and spoken English. The ability to communicate clearly and concisely in both languages is essential for the role, particularly in drafting correspondence and providing assistance to beneficiaries.
Additional Notes: This position is open to candidates who have the legal right to work in Ukraine. NRC is unable to provide work permits or visa sponsorships for this role.
