Job Overview:
The Technical Administration Assistant plays a crucial role in ensuring the smooth operation of administrative functions within the NRC's East Area Office (EAO). This position involves a variety of clerical and administrative tasks that support both managers and staff in their daily activities. The assistant is expected to adhere to NRC policies and guidelines while effectively managing resources and maintaining proper documentation. The role also includes responsibilities related to the maintenance of office premises, organization of events, and support for international staff, making it essential for the assistant to be proactive and detail-oriented. The position requires a strong commitment to improving administrative processes and ensuring that the office environment is conducive to productivity and collaboration.

Duties and Responsibilities:
The Technical Administration Assistant will be responsible for a wide range of duties, including but not limited to: issuing temporary residence permits and registrations for international staff, organizing minor repairs and maintenance for staff accommodations, assisting in the search for office premises and guesthouses, ensuring the functionality of appliances and utilities in guesthouses and offices, organizing workshops and team-building events, coordinating business trips for EAO employees, managing necessary purchases for offices and guesthouses, concluding contracts with suppliers, tracking administrative contracts for timely renewal, processing payments, managing postal services, maintaining office supplies, and performing other work-related duties as assigned by the line manager. The assistant must ensure that all tasks are completed efficiently and in accordance with NRC standards.

Required Qualifications:
Candidates must possess a Bachelor’s degree in a relevant field. Experience in a support function, particularly within a humanitarian or recovery context, is highly desirable. Previous experience in complex and volatile environments is also an asset. The ideal candidate should demonstrate strong organizational skills, cultural awareness, and the ability to work effectively in a team. Proficiency in written and spoken English is required, along with fluency in Ukrainian. Computer literacy, particularly in MS Office, is essential for this role.

Educational Background:
A Bachelor’s degree in a relevant field is required for this position. This educational background provides the foundational knowledge necessary for performing the administrative and clerical duties associated with the role. Candidates with degrees in fields such as business administration, management, or social sciences may find their education particularly relevant to the responsibilities of the Technical Administration Assistant.

Experience:
The position requires candidates to have experience working in a support function, ideally within a humanitarian or recovery context. Previous experience in complex and volatile settings is considered a strong asset, as it equips candidates with the skills needed to navigate the challenges associated with administrative tasks in such environments. Languages:
Fluency in both written and spoken English is mandatory for this position, as effective communication is essential for coordinating with international staff and stakeholders. Additionally, fluency in Ukrainian is required, enabling the assistant to engage with local staff and resources effectively. Knowledge of other languages may be considered an advantage but is not mandatory.
