Job Overview:
The Personal Assistant will play a crucial role in supporting the Director-General's Office and the Deputy Director-General of the Nuclear Energy Agency (NEA). This position requires a dynamic and innovative individual who can manage a wide range of administrative tasks to ensure the smooth operation of the office. The successful candidate will be responsible for managing schedules, organizing meetings, and handling logistical arrangements for high-level visitors. The role demands a proactive problem-solver who can work flexibly and learn quickly, thriving in a fast-paced environment. The Personal Assistant will also contribute to the planning of activities, maintain communication flows within the NEA, and prepare necessary documentation for meetings and travel. This position is essential for maintaining the efficiency and effectiveness of the Director-General's office, requiring a high degree of discretion and professionalism.

Duties and Responsibilities:
The Personal Assistant will be responsible for a variety of tasks, including but not limited to: managing the schedules of the Director-General and Deputy Director-General, organizing appointments and meetings, and handling all related logistical arrangements. The assistant will receive and assist high-level visitors, manage the agenda and priorities of the office, and ensure effective communication with NEA management and staff. Responsibilities also include organizing official international missions, preparing travel arrangements, and coordinating social engagements. The Personal Assistant will draft routine correspondence in both official languages, support the preparation of presentations, and manage incoming mail and correspondence. Additionally, the role involves filtering calls, responding to inquiries, and managing administrative tasks that require the attention of senior officials. The assistant will also track replies, monitor pending actions, and maintain office records.

Required Qualifications:
Candidates must possess a university degree or equivalent experience in management, administration, or related fields. Proven relevant experience as a personal assistant to a senior official, preferably in an international environment, is essential. Candidates should have excellent knowledge of administrative rules and procedures, or the ability to learn them quickly. A high degree of discretion and the ability to communicate effectively and diplomatically in a multicultural environment are crucial. Experience in managing conflicting requests under strict deadlines and the ability to work independently and take initiative are also required. Familiarity with Microsoft Office Suite and the ability to learn other software applications used at the OECD is necessary.

Educational Background:
A university degree or equivalent experience in management, administration, or related fields is required for this position. This educational background provides the foundational knowledge necessary for effective performance in the role of Personal Assistant.

Experience:
Candidates should have proven relevant experience as a personal assistant to a senior official, ideally in an international context. This experience should demonstrate the ability to manage complex schedules, handle high-level correspondence, and work effectively under pressure while maintaining a high standard of professionalism.

Languages:
An excellent written and oral command of one of the two official languages of the OECD (English and French) is mandatory. Candidates must demonstrate the ability to draft and present clear and concise reports in this language. A working knowledge of, or willingness to learn, the other official language is also required.

Additional Notes:
This position offers an open-ended appointment with a starting monthly salary of 5135 EUR, plus allowances based on eligibility, exempt from French income tax.
