Job Posting Organization:
The UNOPS South East Asia Multi-Country Office (EAPMCO) was established in January 2023, following the merger of the Thailand Multi-Country Office and the Cambodia Multi-Country Office. It currently oversees a portfolio of projects across 24 countries in North East Asia, South East Asia, and the Pacific. The office is responsible for strategic direction, operational support, and quality assurance across its various business units, which include operations in Thailand, Indonesia, Papua New Guinea, China, and the Philippines. In 2024, the office implemented projects worth over USD 80 million in areas such as Energy Transition, Digital Transformations, and Climate Change, among others. The head office in Bangkok plays a crucial role in managing engagements and ensuring the excellence of business processes across all locations.

Job Overview:
The Administration Intern position at UNOPS EAPMCO is designed for individuals who are eager to gain practical experience in administrative functions within an international development context. Interns will work under the direct supervision of the Senior Fund Manager and will be integral members of the Fund Management team. The role involves a variety of administrative tasks that are essential for the smooth operation of the Energy Transition Partnership (ETP) Secretariat. Interns will be expected to support the organization of meetings, manage documentation, assist with procurement and recruitment processes, and facilitate travel arrangements for staff. This position offers a unique opportunity to engage with multiple stakeholders and contribute to significant projects aimed at energy transition in Southeast Asia.

Duties and Responsibilities:
The duties and responsibilities of the Administration Intern include:
  • Supporting a wide range of administrative duties such as organizing virtual and in-person meetings, preparing meeting documents, compiling minutes, and following up on action points.
  • Assisting with procurement and recruitment tasks to ensure timely and efficient processes.
  • Coordinating travel arrangements for ETP staff, ensuring proper documentation and payment processing.
  • Supporting payment transaction tasks for projects, preparing necessary files and documents, and uploading them onto relevant systems.
  • Assisting in the preparation and organization of ETP Steering Committee meetings, both virtually and in-person.
  • Collecting and synthesizing data for inclusion in ETP documents, reports, and presentations.
  • Maintaining accurate records of program data and documents on the ETP shared drive.
  • Following ETP operating manuals and guidelines to ensure compliance and awareness among staff.
  • Fostering effective working relationships with relevant UNOPS offices and units. 1
  • Performing other secretarial duties as required by the supervisor or ETP management.

Required Qualifications:
Candidates must possess a minimum first-level university degree (Bachelor's or equivalent) in fields such as Public Administration, Development Studies, or Social Sciences. Additionally, candidates must be enrolled in a university program (Bachelor's, Master's, or Ph.D.) or have graduated within three years prior to the application date. Professional experience in Administration or International Development is desirable, along with strong computer literacy in MS Office applications, particularly MS Word, PowerPoint, and Excel. Candidates should also demonstrate strong interpersonal and communication skills, organizational abilities, and the capacity to work in a multicultural environment.

Educational Background:
The educational background required for this position includes a minimum first-level university degree in relevant fields such as Public Administration, Development Studies, or Social Sciences. Candidates must also be currently enrolled in a university program or have graduated within the last three years, ensuring they have recent academic experience that aligns with the internship's focus.

Experience:
The position requires some professional experience in Administration, International Development, or related fields. While extensive experience is not mandatory, candidates should demonstrate familiarity with administrative processes and the ability to work effectively in a team-oriented environment. Strong organizational skills and the ability to manage multiple priorities under pressure are essential.

Languages:
Fluency in English (reading, writing, and speaking) is mandatory for this position. Proficiency in additional languages may be considered an asset but is not explicitly required.

Additional Notes:
This internship is offered on a contract basis for a duration of 6 months, with the possibility of extension up to 12 months, contingent on organizational needs and performance. It is important to note that this internship is not intended to lead to a permanent staff position with UNOPS, and candidates should not expect employment following the internship. Interns may receive a monthly stipend from UNOPS, provided they do not receive funding from other institutions. They are responsible for their own accommodation, travel, and visa arrangements.
