Job Overview: The Logistics Clerk position is a critical role within FAO Ukraine, aimed at supporting the logistical operations of the organization. The incumbent will work under the direct supervision of the FAO Ukraine Head of Programme and will collaborate closely with the National Logistics Assistant and other staff members. The primary functions of this position include managing logistical data, ensuring efficient delivery of goods and services, and maintaining accurate records. The Logistics Clerk will play a vital role in facilitating the smooth operation of logistics, which is essential for the successful implementation of FAO's projects in Ukraine. This position requires a proactive approach to problem-solving and a commitment to adhering to FAO's corporate rules and procedures.
Duties and Responsibilities: The Logistics Clerk will be responsible for a variety of tasks that are essential to the logistics function within FAO Ukraine. Key responsibilities include:
Supporting the creation and maintenance of a comprehensive database to track logistics-related information.
Facilitating the transfer of data from physical documents to digital databases, ensuring accuracy in the documentation of deliveries and distributions.
Regularly verifying data related to distributions and maintaining accurate records.
Performing routine database backups in collaboration with IT staff to ensure data security.
Providing administrative support for logistics activities, including the distribution of goods and equipment, ensuring compliance with FAO procedures.
Organizing physical files and records, ensuring that all documentation is easily accessible and properly referenced in databases.
Assisting with the implementation of logistical support for various projects, which may include making phone calls, preparing documentation, and maintaining records.
Performing any other related duties as required by the supervisor.
Required Qualifications: Candidates must meet the following minimum requirements:
A university degree (Bachelor’s or equivalent) in logistics, supply chain management, procurement, or a related field is desired.
A minimum of one year of experience in administrative, logistics, or related fields is required.
Proficiency in Ukrainian is mandatory, along with a working knowledge of English.
Candidates must be nationals of Ukraine or residents with a valid work permit.
Educational Background: The educational background required for this position includes a university degree, preferably a Bachelor’s degree or its equivalent, in logistics, supply chain management, procurement, or a closely related field. This educational foundation is essential for understanding the complexities of logistics and supply chain operations, which are critical to the role of a Logistics Clerk.
Experience: The position requires at least one year of relevant experience in administrative, logistics, or related fields. This experience should demonstrate the candidate's ability to manage logistical operations, maintain accurate records, and support the distribution of goods and services effectively. Familiarity with the logistics processes and procedures within an international organization is highly advantageous.
Languages: The mandatory language for this position is Ukrainian, as it is essential for communication and documentation within the local context.
