Job Posting Organization: The position is located in the Programme Office in Uganda (POUGA), which is part of the Regional Office for Eastern Africa (ROEA) under the Division for Operations of the United Nations Office on Drugs and Crime (UNODC). Job Overview: The Programme Assistant will play a crucial role in supporting the operations of the Programme Office in Uganda. This position requires a proactive individual who can handle a variety of administrative and office support tasks. The Programme Assistant will be responsible for ensuring that the office runs smoothly by performing a wide range of functions, including drafting correspondence, managing schedules, and maintaining databases. Duties and Responsibilities: The Programme Assistant will be responsible for a comprehensive set of duties, including but not limited to: performing a wide range of office support and administrative functions; drafting responses to routine correspondence; monitoring processes and schedules related to the unit's outputs; compiling and organizing information for reports and meetings; generating statistical reports using databases; proofreading documents for accuracy; providing secretarial and administrative support for meetings; maintaining websites and updating information materials; managing calendars and schedules; performing data entry functions; reviewing and processing mail and documents; updating distribution lists; handling general administrative tasks such as leave recording and budget follow-up; assisting with data collection and analysis; and maintaining both paper and electronic files and databases for UNODC. The Programme Assistant may also be required to perform other work-related duties as assigned by the supervisor.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A minimum of three years of experience in general office support is required, along with experience using an enterprise resource planning (ERP) system. Familiarity with SAP/Umoja is desirable, as is experience in handling confidential information and providing support to senior managers within the United Nations System or similar public sector institutions. Experience in document processing and archive systems is also beneficial. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a team environment.
Educational Background: The minimum educational requirement for this position is a high school diploma or equivalent.
