Job Overview: The COE Assistant will work within a team of COE Inspectors and Assistants, reporting directly to the Chief COE/MOU Management Unit. The role involves conducting inspections of contingent units to ensure compliance with the Memorandum of Understanding (MOU) between the Troop/Police Contributing Countries (T/PCC) and the UN. The COE Assistant will be responsible for maintaining the e-COE System, preparing verification reports, and producing standard and customized reports for various stakeholders. This position requires a proactive approach to identifying deficiencies in equipment and capabilities, providing advice to contingent staff, and ensuring accurate record-keeping of inspections. The COE Assistant will also be involved in administrative tasks, including organizing meetings and drafting minutes, as well as managing the Unit's SharePoint. The role is crucial in supporting the overall mission objectives and ensuring that the contingent units are operationally ready and compliant with UN standards.
Duties and Responsibilities:
Conduct inspections of contingent units, including Arrival, Periodic, Operational Readiness, and Repatriation inspections to verify compliance with MOU responsibilities.
Prepare and submit ME and SS verification reports in the UCM system for approval.
Maintain the e-COE System, ensuring data quality and accuracy.
Produce reports using e-COE data for various stakeholders, including MSD, FHQ, and PHQ.
Maintain accurate contingent tables of organization and equipment (TOE) and ensure proper documentation of unit responsibilities.
Provide guidance to contingent staff on COE/MOU matters and recommend corrective actions for non-compliance.
Identify equipment deficiencies and surpluses in consultation with the COE Team Leader.
Monitor and archive documents, ensuring proper documentation and statistics are maintained. 1
Organize and coordinate meetings, drafting minutes for review. 1
Process monthly Uniformed Strength Reports (USRs) and ensure proper endorsement in the UCM system. 1
Handle Daily Allowance and Recreational Leave Allowances claims, ensuring completion and closure. 1

Manage the Unit’s SharePoint, ensuring it is updated daily. 1
Perform additional duties as assigned by the COE Programme Manager.
