Job Overview: The Intern, Registration Assistant position is situated within the Conference Services (COS) Unit of the Interpretation and Conference Services (ICS) section of ADB. The intern will report directly to the Registration Coordinator, who will assign tasks and set priorities. This role primarily involves in-person work at the ICAO Conference Centre, with limited opportunities for remote work. The intern will be part of a team responsible for managing the registration process for the 42nd session of the ICAO Assembly, which will take place between August and October 202
The intern will assist in various aspects of event registration, ensuring a smooth experience for participants and supporting the overall objectives of the conference. This position is ideal for individuals looking to gain hands-on experience in event management and administrative support within an international organization.
Duties and Responsibilities: The duties and responsibilities of the Intern, Registration Assistant include reviewing and modifying the list of registered participants, assisting in online registration processes, and managing virtual/hybrid meeting registrations. The intern will help operate the onsite registration booth for hybrid and face-to-face meetings, provide support to the Registration Coordinator and the registration team, and prepare and distribute event badges to participants. Additionally, the intern will welcome and guide event participants, act as a facilitator during on-site registration, and assist with any other duties assigned by the Registration Coordinator. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with team members and event organizers.
Required Qualifications: To qualify for the Intern, Registration Assistant position, applicants must be enrolled at least in the first year of studies at a university or equivalent institution towards the completion of a degree, preferably at the Bachelor's level or equivalent. Essential qualifications include the ability to write clearly and concisely, in-depth knowledge of computer software such as MS Word and MS Excel, and familiarity with virtual meeting platforms like ZOOM and MS Teams. Candidates should also possess strong collaboration and teamwork skills, effective communication and presentation abilities, and access to a personal computer or laptop equipped with an HD webcam and headset. A high-speed internet connection is also required for remote work.
Educational Background: The educational background required for this internship includes being enrolled in a university program, with a minimum of one year of studies completed towards a Bachelor's degree or equivalent. Additional Notes: This internship is unpaid, and all costs related to travel, insurance, accommodation, remote working, and living expenses must be borne by the intern. The duration of the internship is six months, with the expectation that the intern will work five days a week on a full-time basis. Interns are not permitted to engage in any other form of employment within ICAO during the internship period and will not be eligible to apply for or be appointed to any post in the Secretariat or contracted for any other remunerated employment with ICAO for six months following the end of their internship.
