Job Overview:
The Finance Assistant plays a crucial role in providing financial services that ensure high quality, accuracy, and consistency of work within the UNDP framework. Reporting to the Operations Manager and Head of Finance Unit, the Finance Assistant is responsible for promoting results-based management principles and a client-oriented approach in line with UNDP rules and regulations. The position requires close collaboration with various teams, including Operations, Programme, and project teams, to effectively achieve results and address complex operational issues. The Finance Assistant is expected to maintain full compliance with UNDP programming, financial, procurement, and administrative rules, as well as implement effective internal control systems. This role is vital for ensuring that financial processes are executed smoothly and that the organization meets its operational goals.

Duties and Responsibilities:
The Finance Assistant's duties and responsibilities include:
  • Financial Support: Ensuring compliance of financial processes and records with UN/UNDP rules; assisting in the preparation of purchase orders and vouchers; following up on payment-related issues with suppliers; preparing finance-related letters; contributing to recurring and special reports for budget preparations and audits; verifying supplier information in Quantum; and undertaking other financial and administrative tasks as needed.
  • Cost-Recovery Support: Performing monthly calculations of cost-recovery for services provided by UNDP; preparing and sending cost-recovery invoices; and assisting with the implementation of a cost-recovery control system.
  • Accounting and Administrative Support: Entering or uploading payment data into online banking platforms; ensuring proper verification of payment-related documents; preparing travel requests and claims; maintaining salary project bank card systems; verifying supplier reconciliation reports; supporting budget management and revisions; preparing VAT refund reports; assisting with corrective actions on unposted invoices; maintaining accounts receivables; and archiving finance records.
  • Competencies: The Finance Assistant is expected to achieve results, think innovatively, learn continuously, adapt with agility, act with determination, engage and partner with others, and enable diversity and inclusion in their work.

Required Qualifications:
The required qualifications for the Finance Assistant position include:
  • Education: A minimum of secondary education is required, with a university degree in economics, finance, accounting, law, public administration, international relations, or a related field being preferred.
  • Work Experience: At least five years of relevant work experience with secondary education or two years with a university degree in administrative work, accounting/finance, economics, audit, or related fields is required. Previous experience with UN organizations is a strong advantage. Proficiency in using computers and office software packages, particularly MS Word and Excel, is essential, along with advanced knowledge of spreadsheet and database packages.
  • Skills: Candidates should demonstrate cultural sensitivity, fairness, accountability, and the ability to handle multiple tasks while prioritizing effectively. They should also possess strong communication skills, both oral and written, to prepare accurate reports and documents.

Educational Background:
The educational background required for the Finance Assistant position includes a minimum of secondary education, with a preference for candidates holding a university degree in fields such as economics, finance, accounting, law, public administration, or international relations. This educational foundation is essential for understanding the financial processes and regulations that govern the role.

Experience:
