Job Overview: The Administrative/Finance Assistant will play a crucial role in supporting the UN SDG Action Campaign's local action initiative. This position involves executing a wide range of administrative and financial processes to ensure the efficient and transparent use of resources. The assistant will work closely with the Operations Associate and Project Manager, promoting a client-oriented approach consistent with UNDP regulations. The role requires collaboration with various UNDP Country Offices and aims to inspire and showcase the contributions of local and regional governments towards the implementation of Agenda 203
The initial contract is for one year, with the possibility of extension, reflecting UNDP's flexible approach to meet changing business needs.
Duties and Responsibilities:
Provide effective financial support to the Global Mayors Challenge project, including preparing financial reports and maintaining a proper filing system for finance records.
Ensure the internal expenditures control system is maintained, ensuring that invoices are processed correctly and transactions are recorded accurately in the ERP system.
Liaise with local governments to keep them informed about their budget situations, including monthly costs and payments.
Manage project petty cash and PCA disbursements, ensuring timely corrective actions on unposted invoices.
Assist in monitoring budget versus expenditures and ensure timely utilization of budget and fund balances.
Provide administrative support for travel arrangements and event organization, including registration and liaising with service providers.
Support knowledge building by organizing training for operations/projects staff and contributing to knowledge networks.
Required Qualifications:
Secondary education with specialized certification in accounting and/or finance is required.
A university degree in Finance or Accounting is desirable.
Part-qualified accountants from an internationally accredited institute of accountancy will have an advantage.
Minimum 5 years of relevant work experience with secondary education or 2 years with a bachelor’s degree in providing financial and operational support to projects is required.
Experience in international organizations or UN agencies is preferable, along with demonstrated experience in working with remote teams.
Educational Background: The position requires secondary education with specialized certification in accounting and/or finance. A university degree in Finance or Accounting is desirable, and part-qualified accountants from recognized institutes will have a distinct advantage. Additional certifications in project management or financial management would be beneficial.
Experience: Candidates should have a minimum of 5 years of relevant work experience if they possess secondary education, or 2 years if they have a bachelor’s degree. Experience in providing financial support for project activities, financial reporting, and working with local governments is particularly advantageous. Experience in facilitating and organizing international events with development partners is also an asset. A proven understanding of sustainable development issues and knowledge of the UN Agenda 2030 will be beneficial.
Languages: Fluency in English is mandatory for this position. Knowledge of Spanish or French will be considered an asset, enhancing communication capabilities within diverse teams and with international partners.
Additional Notes: The initial contract duration is for 12 months, contingent upon successful completion of a probationary period.
