Job Overview:
The Project and Finance Assistant position is situated within the ILO Country Office in Kyiv, Ukraine. This role is integral to the implementation of the ILO Transitional Cooperation Strategy for Ukraine for the years 2024-202
  • The assistant will primarily support the project titled 'Promoting Compliance with Fundamental Principles and Rights at Work through the Reforms Process in Ukraine,' which is funded by the Government of Canada. The project aims to align national legislation with international labor standards, enhance internal capacities for data collection and reporting, and raise awareness among national judges regarding international case law. The assistant will work closely with the project team to ensure the successful delivery of project outcomes, reporting directly to the ILO Project Manager and receiving guidance from the Finance Officer.

Duties and Responsibilities:
The Project and Finance Assistant will be responsible for a variety of administrative and operational support functions to ensure the smooth running of the project. Key duties include:
  • Managing project administration, including processing entitlements, issuing contracts, and maintaining records.
  • Advising project staff on administrative rules and procedures, making travel arrangements, and preparing travel authorizations.
  • Collecting and compiling socioeconomic data, drafting reports, and maintaining records for project monitoring and evaluation.
  • Assisting in the drafting of meeting minutes and translating documents between English and Ukrainian.
  • Providing financial and administrative information, liaising with other agencies, and maintaining budget records.
  • Organizing special meetings and workshops, coordinating administrative arrangements, and making travel arrangements for field missions.
  • Supporting communication efforts, including drafting press releases and ensuring project updates are reflected on social media.
  • Performing additional duties as assigned by the Project Manager and ILO CO-Kyiv Director.

Required Qualifications:
Candidates must possess a completion of secondary school education, supplemented by technical or university-level courses relevant to the organization's work. Specialized training in a field pertinent to the ILO's mission and previous experience with UN projects will be advantageous. Candidates should demonstrate a strong understanding of financial and administrative rules and procedures, as well as good administrative skills to provide effective programming support.

Educational Background:
The educational requirement for this position includes completion of secondary school education, along with additional technical or university-level courses in a relevant field. Specialized training in areas related to the ILO's work is preferred, and prior experience within the UN system will be considered a significant asset.

Experience:
The ideal candidate should have at least six years of progressively responsible experience in financial and/or administrative roles, with a minimum of one year in program support activities. Experience in similar positions within UN or ILO projects will be given special consideration, highlighting the importance of relevant background in international organizations.

Languages:
Proficiency in both Ukrainian and English is mandatory, with excellent oral and written communication skills in both languages. This bilingual capability is essential for effective communication and documentation within the project.

This position is a short-term contract lasting five months, with the possibility of renewal based on various factors such as funding availability and performance. The entry-level salary for this role is set at 23,442 USD annually.
