Job Overview:
The Project Assistant position at the ILO Country Office in Kyiv is designed to support the National Project Manager in the implementation of a project funded by the Government of Belgium. This project focuses on critical areas such as the prevention of labor exploitation and human trafficking, entrepreneurship support, and capacity building for social partners. The Project Assistant will play a vital role in ensuring the successful delivery of project outcomes by providing administrative and operational support. This includes managing project documentation, facilitating communication among stakeholders, and assisting in the organization of project-related events. The role requires a proactive approach to problem-solving and the ability to work collaboratively in a multicultural environment, ensuring that project objectives are met efficiently and effectively.

Duties and Responsibilities:
The Project Assistant will be responsible for a wide range of duties including:
  • Ensuring smooth functioning of project administration and office management, collaborating closely with other administrative staff.
  • Processing entitlements, issuing contracts, and maintaining accurate records and files.
  • Advising project staff on administrative rules and procedures.
  • Making travel arrangements, preparing travel authorizations, and gathering relevant travel information.
  • Liaising with relevant agencies and stakeholders to prepare for field missions.
  • Collecting and summarizing information from project records and reports, drafting correspondence and technical papers.
  • Organizing data and maintaining records for project monitoring and evaluation.
  • Assisting in financial and administrative reporting related to project implementation.
  • Maintaining up-to-date budget records and ensuring correct allocation of expenditures. 1
  • Participating in the organization of meetings, workshops, and training sessions as required. 1
  • Providing interpretation services between English and Ukrainian for ILO missions and staff. 1
  • Offering secretarial and administrative support for various project-related activities. 1
  • Performing additional duties as assigned by the National Project Manager or ILO CO Kyiv Director.

Required Qualifications:
Candidates must possess a completion of secondary school education, supplemented by technical or university-level courses relevant to the work of the organization. Specialized training in a field pertinent to the ILO's work and previous experience with UN organizations would be advantageous. The role requires strong administrative skills and knowledge of project management principles, as well as the ability to interpret and apply administrative rules and procedures effectively.

Educational Background:
The educational background required for this position includes a secondary school diploma, with additional technical or university-level coursework in fields related to project management, administration, or social sciences. Specialized training relevant to the ILO's mission is preferred, and candidates with prior experience in UN projects will be given special consideration.

Experience:
The ideal candidate should have at least six years of progressively responsible clerical or administrative experience, with a minimum of one year in program support activities. Experience in similar roles within UN or ILO projects will be particularly valued, as it demonstrates familiarity with the organization's operations and expectations.

Languages:
Excellent proficiency in both Ukrainian and English, both oral and written, is mandatory for this position. This bilingual capability is essential for effective communication within the project and with various stakeholders. Additional language skills may be considered an asset but are not required.

Additional Notes:
This position is offered on a Special Short Term contract basis, with a duration of four months. The recruitment process is open to both internal and external candidates, with specific local recruitment criteria applicable to external applicants. The entry-level salary for this position is set at 25,364 USD per year.
