Job Overview: The Administrative Associate position at UNOPS Myanmar is integral to the Shared Support Services Unit, specifically within the Administration Team. This role involves providing comprehensive administrative support to ensure seamless service delivery and efficient office operations. The Administrative Associate will work under the direct supervision of the Administrative Officer and will be responsible for overseeing various administrative and logistical processes. The position requires a proactive approach to managing office resources effectively and ensuring compliance with UNOPS policies and regulations. The incumbent will also be expected to promote a client-oriented approach, ensuring that the needs of internal and external stakeholders are met efficiently and effectively. This role is pivotal in maintaining the operational integrity of the office and enhancing the overall service delivery to UNOPS partners.
Duties and Responsibilities: The duties and responsibilities of the Administrative Associate include, but are not limited to:
Management Support: Coordinating individual work areas, coaching personnel in standard office transactions, monitoring team performance, implementing control mechanisms for administrative services, and compiling data for financial planning.
Team Management: Facilitating high-quality results through effective work planning, performance management, and compliance oversight.
Facilities Management: Overseeing property maintenance, conducting inspections, ensuring cleanliness, managing maintenance service providers, and coordinating repair work.
Knowledge Building: Organizing training initiatives, contributing to knowledge networks, and synthesizing lessons learned. The role requires a strong focus on client satisfaction and the efficient delivery of administrative services, which directly impacts the operational capacity of the office.
Required Qualifications: The position requires the following qualifications: - Completion of secondary school is mandatory. - A First University Degree in Civil Engineering or a related field is preferred and may substitute for some years of experience. - Structural or Civil Engineering Certification is a distinct advantage. - Proven experience in administrative, logistics, or operations/support services is essential, with a minimum of six years in relevant fields, including at least two years in facilities management. - Proficiency in computer applications and web-based management systems is required, with experience in Enterprise systems being desirable.
Educational Background: Candidates must have completed secondary school, with a preference for those holding a First University Degree in Civil Engineering or equivalent disciplines. This educational background is essential for understanding the technical aspects of facilities management and administrative support.
Experience: Candidates should possess a minimum of six years of experience in administrative, logistics, or operations/support services, with at least two years specifically in camp or building facilities management. Experience within UN system organizations is desirable, and proficiency in office software and management systems is required.
Languages: Full working knowledge of English is mandatory. Knowledge of a second UN or regional working language is considered an asset, enhancing communication and collaboration within diverse teams.
Additional Notes: The contract type for this position is a Local Individual Contractor Agreement at the Local ICA Support-6 / LICA-6 / ICS-6 level. The contract duration is open-ended, contingent upon organizational requirements, availability of funds, and satisfactory performance.
