Job Overview: The HR Administrator position is crucial for the effective management of human resources for the International Mobile Staff (IMS) within the MSF International Coordination Office (ICO). The HR Admin will be responsible for end-to-end HR administration, including employment contracts management and processing benefits programs. This role requires a high level of customer service and adherence to internal processes, HR policies, and legal compliance. The HR Admin will act as the first point of contact for employees regarding HR administrative issues, ensuring that all inquiries are addressed promptly and accurately. The position also involves maintaining accurate employee records, managing payroll inquiries, and ensuring compliance with Swiss labor law. The HR Admin will work closely with various sections of MSF to ensure that all HR processes are streamlined and efficient, contributing to the overall mission of MSF to provide humanitarian aid effectively.
Duties and Responsibilities: The HR Administrator will have a wide range of responsibilities, including but not limited to: acting as a contact person for HR administrative issues, providing support on payroll inquiries, managing employment contracts, ensuring the registration of employees in HR information systems, maintaining employee personnel files, administering benefits programs, and ensuring compliance with internal policies and GDPR regulations. The HR Admin will monitor the complete registration of employees, develop employment contracts based on work orders, and ensure the validity of contracts throughout the employment period. Additionally, the HR Admin will provide administrative information related to contracts and salaries, update HR information systems regularly, and ensure timely registration and deregistration of international medical insurance and retirement saving plans. The role also involves continuous improvement of HR processes and procedures, planning and prioritizing workload, and collaborating with other HR Admins to ensure effective service provision.
Required Qualifications: Candidates for the HR Administrator position should possess strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. A solid understanding of HR processes and policies, particularly in an international context, is essential. The ideal candidate should have excellent communication skills, both written and verbal, and the ability to work collaboratively within a team. Proficiency in HR information systems and data management is required, along with a commitment to maintaining confidentiality and compliance with data protection regulations. A proactive approach to problem-solving and a customer-focused attitude are also important for success in this role.
Educational Background: A bachelor's degree in Human Resources, Business Administration, or a related field is required for the HR Administrator position. Additional certifications in HR management or related areas would be advantageous. Candidates should have a strong understanding of HR principles and practices, particularly in an international humanitarian context, to effectively support the diverse needs of MSF's international mobile staff.
Experience: The HR Administrator position requires a minimum of 2-3 years of experience in human resources or a related field. Experience working in an international organization or in a humanitarian context is highly desirable. Candidates should demonstrate a track record of managing HR processes, including contract management, benefits administration, and compliance with labor laws. Familiarity with Swiss labor law and GDPR regulations will be considered an asset.
Languages: Fluency in English is mandatory for the HR Administrator position, as it is the primary language of communication within MSF International. Proficiency in French or other languages spoken in MSF's operational countries would be considered a strong advantage, as it would enhance communication with diverse staff members and stakeholders.
Additional Notes: The HR Administrator position is a full-time role with a fixed-term contract lasting 12 months. The starting date for the position is set for 01 September 202
