Job Overview:
The Administrative Assistant will play a crucial role in supporting the Health security" style="border-bottom: 1px dotted #007bff !important;">Security Project in Türkiye under the WHO Country Office team. This position involves a variety of secretarial, coordinating, monitoring, and administrative services. The incumbent will be responsible for drafting correspondence and documents, managing project activities, and ensuring effective communication within the team. The role requires a proactive approach to managing deadlines and follow-ups, as well as the ability to handle sensitive information with discretion. The Administrative Assistant will also assist in organizing meetings, maintaining filing systems, and providing support to both general service and professional staff.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Assistant include:
  • Drafting and finalizing correspondence and documents in consultation with Project Professional Staff.
  • Revising reports and documents for proper form and content.
  • Taking notes at meetings and typing reports.
  • Arranging duty travel and acting as an informal interpreter/translator when required.
  • Monitoring project activities and financial expenditures using GSM.
  • Making administrative arrangements for country and intercountry activities, including procurement and recruitment of consultants.
  • Assisting in the organization of meetings, workshops, and seminars, including logistical arrangements and documentation.
  • Establishing and maintaining a filing system for technical documents and correspondence.
  • Responding to inquiries and coordinating appointments for supervisors. 1
  • Maintaining WHO documentation modules and ensuring proper dissemination of information.

Required Qualifications:
The required qualifications for the Administrative Assistant position include:
  • Completion of secondary school or equivalent is essential.
  • Relevant higher education from an accredited institution is desirable.
  • At least 5 years of progressively responsible experience in the secretarial/administrative field, including some experience with finance, is essential.
  • Experience in an international environment or institution, particularly with WHO or the UN, is desirable.
  • Proficiency in standard office computer software and basic understanding of accounting principles is required.

Educational Background:
The educational background required for this position includes:
  • Essential: Completion of secondary school or equivalent.
  • Desirable: Relevant higher education from an accredited institution, which may include degrees in administration, business, or related fields.

Experience:
The level of experience needed for the Administrative Assistant position includes:
  • Essential: A minimum of 5 years of progressively responsible experience in secretarial and administrative roles, with some experience in finance.
  • Desirable: Experience working in an international organization or institution, particularly within the WHO or UN framework, which would provide valuable insights into the operational and administrative processes of such organizations.

Languages:

  • Essential: Expert knowledge of English and Turkish.
