Job Overview: The Facilities Maintenance Specialist is a critical role that requires strong technical knowledge, administrative skills, and organizational abilities. The incumbent will support the maintenance team by collecting data and analyzing mission reports, working closely with technicians to identify issues related to material purchases, consumption, and service provision. Additionally, the Facilities Maintenance Specialist will collaborate with the Facility Manager to enhance team performance and maintain high standards for safety, functionality, and efficiency within the facilities. Duties and Responsibilities:
Maintenance Planning and Management: Collect and track data related to preventive and routine maintenance plans for client facilities in Juba and field offices. Assess the condition of existing facilities and monitor the progress of regular inspections, repairs, and upgrades. Coordinate renovations, repairs, and installations with contractors, ensuring that work quality meets client standards.
Contractor and Vendor Coordination: Monitor and evaluate service provider performance, suggest improvements, and ensure timely project completion. Implement safety protocols in accordance with global standards and local regulations. Coordinate emergency maintenance services for urgent facility-related issues.
Documentation and Reporting: Maintain accurate records of maintenance activities, repairs, and inspections for all facilities. Prepare regular reports on maintenance activities, budget status, and project updates for the Head of Management Services. Keep an updated inventory of facility assets in collaboration with the asset management team and manage stock of maintenance-related materials. Analyze maintenance and operational data to generate detailed reports for management, providing insights into facility utilization for informed decision-making. Monitor expenditures to ensure cost-effective procurement of maintenance supplies, equipment, and services. Support the assignment and tracking of progress for support tickets raised.
Capacity Building: Guide on-site staff in basic maintenance procedures and safety protocols to promote sustainability and self-sufficiency in routine upkeep. Provide technical guidance to facility staff on maintenance best practices and resource management.
