Job Overview:
The Documentation and Archive Assistant position is part of the international technical cooperation project BRA/21/010, which aims to strengthen management and innovation capacities within the National School for the Training and Improvement of Magistrates (ENFAM). The role involves supporting ENFAM in selecting and analyzing information based on documents and facts, contributing to the preservation of the school's memory. The assistant will work under the supervision of the UNDP Project Manager and will be engaged in various tasks related to the management of archives and collections, with a focus on enhancing the technical and management capacities of ENFAM.

Duties and Responsibilities:
The selected volunteer will undertake a variety of tasks, including assisting in the technical processing of archives and collections, selecting and analyzing information, cataloging, describing, and indexing documents. They will also be responsible for feeding databases and other information systems, developing research and management tools for both physical and digital collections, and conducting specialized research and training for ENFAM’s technical teams. Additionally, the assistant will classify and relate information, create historical analyses and narratives, update collections related to historical events, and assist in the cleaning, packaging, describing, digitalization, and computerization of documents. They will prepare reports, manuals, and other technical supporting documents, and contribute to the development of a project aimed at preserving ENFAM’s memory, while also performing other related tasks as needed.

Required Qualifications:
Candidates for the Documentation and Archive Assistant position should possess strong analytical skills, attention to detail, and a solid understanding of archival principles and practices. They should be proficient in cataloging and indexing documents, as well as in using databases and information systems. Familiarity with both physical and digital collections is essential, along with the ability to conduct research and training. Strong communication skills, both written and verbal, are necessary for preparing reports and manuals, and for collaborating with ENFAM’s technical teams.

Educational Background:
A background in library science, archival studies, information management, or a related field is preferred for this position. Candidates should have relevant coursework or training that demonstrates their understanding of archival practices and information management principles.

Experience:
The position requires candidates to have some level of experience in archival work or information management. This could include internships, volunteer work, or previous employment in libraries, archives, or similar environments where they have gained practical skills in managing collections and conducting research.

Languages:
Proficiency in Portuguese is mandatory, as the position involves working with documents and teams in Brazil. Knowledge of English or Spanish would be considered an asset, as it may facilitate communication with international partners and enhance the assistant's ability to access a wider range of resources.
