Job Overview:
The Officer position within the Office of the General Counsel (OGC) is primarily responsible for providing essential secretarial and administrative support. This role is crucial for ensuring that legal documentation is produced accurately and efficiently, which includes the preparation of contracts, corporate authorizations, and various legal forms. The Officer will also be involved in filing and archiving legal documents in both hard copy and electronic formats, utilizing systems such as Livelink and Prescient. The position requires liaising with both internal and external clients regarding legal matters, processing engagements with outside counsel, and maintaining legal knowledge management databases. The Officer will assist in internal reporting, arrange travel and meetings, and prepare documents for management committee and Board meetings, ensuring that all materials adhere to EBRD's standards. This role demands a proactive approach, excellent organizational skills, and the ability to manage multiple tasks effectively while maintaining a high level of professionalism.

Duties and Responsibilities:
  • Produce and complete legal documentation and forms, including execution versions of contracts, signing announcements, confirmations, corporate authorizations, and first drafts of standard agreements.
  • File and archive legal documentation in various systems, ensuring compliance with organizational standards.
  • Liaise with internal and external clients on legal matters, including legal due diligence and execution modalities.
  • Process outside counsel and consultancy engagements, preparing contracts and managing invoicing.
  • Update legal knowledge management databases to ensure accurate templates and data for management reports.
  • Manage correspondence and assist with internal reporting as required.
  • Arrange travel, itineraries, visas, and process travel expenses in compliance with Bank policies.
  • Provide support during the absence of other OTE staff.
  • Organize internal events, meetings, and conference calls, and receive visitors. 1
  • Assist with the arrangement of external events. 1
  • Prepare and organize documents for management committee meetings and Board meetings. 1
  • Prepare and amend PowerPoint presentations, ensuring appropriate EBRD templates are used. 1
  • Perform any other administrative tasks as assigned.

Required Qualifications:
  • Secondary/High School Education is required.
  • A recognized legal secretarial qualification, such as the Legal Secretaries Diploma from the Institute of Legal Secretaries and PAs, is advantageous but not essential.
  • Fluent English with excellent written and oral communication skills is mandatory.
  • Knowledge of another language (e.g., Russian, German, French, Turkish, or Arabic) is beneficial, especially for roles based in regional offices.
  • Significant secretarial and administrative experience, preferably in a legal environment, is essential.
  • Familiarity with legal terms and practices is advantageous.
  • Strong organizational skills and a proactive, flexible attitude towards work are necessary.
  • Ability to use initiative and undertake tasks without guidance is crucial.
  • Good communication skills, including a pleasant telephone manner, are required. 1

Educational Background:
The position requires a minimum of Secondary/High School Education. While a recognized legal secretarial qualification is beneficial, it is not a strict requirement. Experience:
Candidates should possess significant secretarial and administrative experience, ideally having worked as a legal secretary in a law firm or in-house legal department.
