Job Overview: The Associate Team Lead in the Operations and Service Management (OSM) department plays a crucial role in ensuring the efficient administration and management of the department's operations. This position involves leading a small team responsible for various administrative tasks, including supporting new joiners and leavers, maintaining accurate records, and managing courier services. The Associate Team Lead is expected to train and develop team members, oversee workload allocation, and ensure the delivery of high-quality services. Additionally, the role includes budget oversight and participation in departmental change activities, requiring strong organizational and communication skills. The Associate Team Lead will also provide direct administrative support to the Managing Director of OSM, which includes managing travel arrangements, diary management, and other day-to-day tasks. This position is integral to the smooth functioning of the department, which comprises approximately 150 staff members.
Duties and Responsibilities: The duties and responsibilities of the Associate Team Lead include:
Staff Management: Participate in the recruitment and selection of administrative staff, allocate and supervise tasks, manage performance, and liaise with HR on staff-related issues.
Budget Oversight: Ensure adherence to the departmental budget, manage routine budgetary functions, and provide coverage for budget officer duties in the absence of the primary officer.
Administrative Support: Conduct all administrative duties for the Managing Director, including diary management, email management, travel arrangements, and correspondence handling.
Team Development: Train and motivate team members, enhance efficiency through process reviews, and ensure high standards of service delivery.
Record-Keeping: Maintain accurate records to support sound administration and manage housekeeping tasks.
Engagement Activities: Contribute to OSM’s engagement planning and propose action plans to improve departmental processes.
Communication: Effectively communicate with clients and colleagues, ensuring a high degree of integrity and professionalism.
Continuous Improvement: Identify opportunities for process improvements and develop proposals to enhance team support for various units within OSM.
Required Qualifications: Candidates should possess a relevant qualification in administration management, with proven success in managing and motivating a budget and administration delivery team. Strong organizational and supervisory skills are essential, along with excellent time management and prioritization abilities. The ideal candidate should be self-motivated, able to operate in a fast-paced environment, and demonstrate the ability to build effective working relationships in a multicultural setting. Experience in developing processes to drive efficiency and the ability to communicate diplomatically at all levels are also required. Candidates should exhibit impeccable behavior towards clients and colleagues, possess a high degree of integrity, and have strong interpersonal skills.
Educational Background: A relevant qualification in administration management is preferred. Candidates with additional certifications or training in management or organizational development will be viewed favorably. A strong educational background that supports the skills required for effective administration and team leadership is essential.
Experience: Candidates should have significant experience in administration management, particularly in a leadership role where they have successfully managed a team. Experience in budget management and administrative delivery is crucial, along with a demonstrated ability to coach and develop team members. Familiarity with working in international organizations or multicultural environments is highly desirable.
Languages: Fluency in English is mandatory, with excellent written and spoken communication skills. Knowledge of additional languages is considered an advantage, particularly those relevant to the regions served by the EBRD.
