Job Overview: The Programme Assistant will play a crucial role in supporting the coordination of the Joint Programme Gender Equality Accelerator (JP GEA). This position involves providing day-to-day administrative, organizational, and programmatic support to ensure the effective management of the programme. The Programme Assistant will work closely with the Programme Management Specialist and will be responsible for various tasks, including administrative and logistical coordination across participating UN organizations, managing programme work plans and budgets, and supporting the execution of programme activities. The role requires a proactive approach to gather information, facilitate communication among stakeholders, and ensure that all programme-related documentation is organized and accessible. The Programme Assistant will also assist in financial management, donor coordination, and knowledge sharing within the office and with partners.
Duties and Responsibilities:
Provide administrative and logistical support to the coordination and management of the GEA Joint Programme, including preparation of work plans, budgets, and proposals, tracking fund delivery, and supporting routine reporting of activities and finances.
Assist in financial management by creating projects in the Quantum system, preparing budget revisions, monitoring project finances, and processing payments for consultants.
Organize logistical arrangements for workshops, events, and meetings, including travel arrangements for the Programme Team, drafting meeting minutes, and maintaining action trackers.
Support donor coordination by compiling documentation and providing administrative support for donor meetings and consultations.
Facilitate knowledge building by organizing training sessions for office personnel and partners on programme-related issues.
Perform other duties as necessary for the efficient functioning of the office and organization.
Required Qualifications: Candidates must possess a strong foundation in administrative or programme management support, with a minimum of 5 years of progressively responsible experience if holding a secondary school diploma, or 2 years if holding a Bachelor's degree. Proficiency in using multiple office software packages and experience with ERP systems, preferably Oracle Cloud, are essential. Additionally, candidates should demonstrate the ability to manage data, documents, and correspondence effectively, as well as possess good financial and budgeting skills.
Educational Background: Completion of secondary education is required for this position. A Bachelor's degree in business or public administration is desirable and would enhance the candidate's qualifications for the role.
Experience: The position requires at least 5 years of relevant experience in administrative or programme management support for candidates with a secondary school diploma. For those with a Bachelor's degree, a minimum of 2 years of experience is required. Experience in a computer environment using various office software packages is essential, and familiarity with ERP systems, particularly Oracle Cloud, is considered an asset. Experience in supporting a team and contributing to collaborative efforts is also desirable.
Languages: Fluency in English is mandatory for this position, as well as fluency in Bosnian, Croatian, or Serbian. Proficiency in these languages is crucial for effective communication within the team and with stakeholders.
