Job Overview: The Project Assistant will play a crucial role in supporting the implementation and monitoring of project activities within the Data and Analytics Unit. This position requires the incumbent to assist in various project-related tasks, including retrieving, compiling, summarizing, and presenting information and data on specific project topics. The Project Assistant will also be responsible for monitoring the project budget by verifying the availability of funds, obtaining necessary approvals, and updating budget-related information. Additionally, the role involves supporting the administrative coordination of project implementation, which includes liaising with diverse organizational units and external parties to initiate requests, obtain necessary clearances, and process administrative actions. The Project Assistant will draft status reports, identify shortfalls in delivery, and bring them to the attention of the supervisor. Other responsibilities include drafting correspondence, reports, briefing notes, graphics, statistical tables, presentations, and organizing meetings, workshops, and training sessions. The incumbent will also respond to general information requests and inquiries and maintain files and records, ensuring that all project documentation is organized and accessible.
Duties and Responsibilities: The duties and responsibilities of the Project Assistant include:
Supporting the implementation and monitoring of project activities as directed by the supervisor.
Retrieving, compiling, summarizing, and presenting information/data on specific project topics.
Monitoring the project budget by verifying the availability of funds, obtaining necessary approvals, and updating budget-related information.
Assisting in the administrative coordination of project implementation, including liaising with various organizational units and external parties.
Drafting status reports and identifying shortfalls in delivery, bringing them to the attention of the supervisor.
Preparing correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other documentation as required.
Organizing meetings, workshops, and training sessions to facilitate project activities.

Required Qualifications: The required qualifications for the Project Assistant position include:
A Bachelor’s degree in Administration, Business Management, or a related field from an accredited academic institution, along with two years of relevant professional experience; or a High School diploma with four years of relevant professional experience.
Experience in liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations.
Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups.
Prior work experience with international humanitarian organizations, non-governmental organizations, or government institutions in a multi-cultural setting is considered an advantage.
Excellent planning and organizational skills, with the ability to prioritize work, multi-task, and meet deadlines.
Knowledge of financial, procurement, and general administrative procedures.
Familiarity with PRIMA, SAP, and Oracle is a strong advantage.
Strong computer literacy and proficiency in Microsoft Windows and MS Office applications, especially Excel.
Strong interpersonal skills, flexibility, responsibility, and teamwork capabilities.
Educational Background: The educational background required for the Project Assistant position includes a Bachelor’s degree in Administration, Business Management, or a related field from an accredited academic institution. Alternatively, candidates with a High School diploma and four years of relevant professional experience may also be considered. It is important that the educational qualifications are from accredited universities, as listed in the UNESCO World Higher Education Database.
