Job Overview:
The Management Services Associate position at WFP is designed to provide specialized support and coordinate the delivery of client-focused and value-for-money services related to the Management Services portfolio. This role is crucial in ensuring that administrative and technical support is efficiently coordinated, thereby enhancing the overall service delivery within the organization. The associate will be responsible for monitoring resource needs, assisting in identifying new requirements, and contributing to decision-making through data analysis and report preparation. The position requires a proactive approach to improving procedures and ensuring that services are delivered in a timely and accurate manner. The associate will also play a key role in liaising with other functions and third-party contractors, providing guidance and training to junior staff, and contributing to emergency preparedness and response efforts. Duties and Responsibilities:
The duties and responsibilities of the Management Services Associate include:
  • Coordinating administrative and technical support within the Management Services portfolio to ensure efficient and high-quality service delivery.
  • Monitoring resource needs within the designated area of responsibility and assisting in identifying new requirements to enhance operational efficiency and cost-effectiveness of services.
  • Collating and analyzing data and preparing and/or consolidating reports to contribute to decision-making and efficient management of resources.
  • Monitoring and processing actions related to procurement, finance, human resources, and other relevant areas, ensuring data is accurately and timely recorded and processed in corporate systems.
  • Reviewing and recommending improvements to procedures to contribute to continuous enhancement of services provided.
  • Providing timely and accurate resolutions to complex queries to ensure efficient delivery of services.
  • Utilizing digital tools and technology applications to improve working practices and customer service, and effectively adopting new technologies introduced at the workplace.
  • Participating in the preparation of inter-agency initiatives as part of UN Reform to achieve cost savings and enhancement of service quality.
  • Liaising with other functions and third-party contractors to enable efficient service delivery. 1
  • Providing advice and support to junior staff to ensure individual and team objectives are met in line with required standards. 1
  • Providing training and guidance to staff to improve understanding of Management Services regulations, policies, procedures, processes, standards, and systems. 1
  • Contributing to emergency preparedness and response by allocating resources, offering analytics, and providing services.

Required Qualifications:
The required qualifications for the Management Services Associate position include a completion of secondary school education, with a post-secondary certificate in a related functional area being desirable. Candidates should possess a strong understanding of WFP Management Services regulations, policies, procedures, processes, standards, and systems. Additionally, experience in collating data and preparing reports related to the Management Services portfolio, such as asset management, facilities, fleet, travel, or similar areas, is essential. The ability to coordinate the work of others and provide guidance and training is also required, along with experience working collaboratively with teams across different functional areas.

Educational Background:
Candidates for the Management Services Associate position should have completed secondary school education. A post-secondary certificate in a related functional area is considered desirable, indicating a level of specialized knowledge that can enhance the candidate's ability to perform the duties associated with the role effectively.

Experience:
The position requires six or more years of progressively responsible work experience in the relevant business stream, particularly in general management services work. Candidates should have demonstrated experience in managing and coordinating various aspects of management services, showcasing their ability to handle complex tasks and contribute to the overall efficiency of the organization.

Languages:
Fluency in both oral and written communication in the UN language in use at the duty station (English) is mandatory. Additionally, proficiency in the local language, if different, is also required.
