Job Overview: The Staff Assistant (Staff Work Management) position is integral to the Management Directorate at HQ JFCNP. The role involves supporting the Workflow and Information Management Branch, ensuring effective communication and documentation within the headquarters. The incumbent will assist with task tracking, produce analysis products, and provide administrative support. This position requires a proactive approach to managing correspondence and facilitating the flow of information among various staff members. The Staff Assistant will also be involved in project teams and may be required to undertake deployments in support of military operations, demonstrating flexibility and adaptability in a dynamic work environment.
Duties and Responsibilities: The Staff Assistant's duties include assisting with tasker tracker queries, processing packages, producing tracking and staff work analysis products, and maintaining correspondence and message files. The incumbent will compose replies to routine correspondence, answer telephones, and solve queries. Additional responsibilities involve reproducing printed materials, participating in project teams, and potentially performing similar duties in other areas of the organization. The role may also require deployment for military operations and exercises, necessitating a willingness to adapt to various working conditions.
Required Qualifications: Candidates must possess higher secondary education with intermediate vocational training leading to a formal qualification and at least 2 years of job-related experience, or secondary education with advanced vocational training and 4 years of post-related experience. A minimum of 3 years of administrative experience in an international or public environment is essential, along with experience in handling documentation and information systems. Proficiency in Microsoft Office applications and familiarity with current ICT systems is required.
Educational Background: The educational background required for this position includes higher secondary education and vocational training or secondary education with advanced vocational training. Candidates should have formal qualifications relevant to administrative functions and experience in a similar role.
Experience: The position requires a minimum of 3 years of relevant administrative experience, particularly in environments that involve both military and civilian personnel. Experience with NATO Tasker Tracker systems and handling NATO documentation is highly desirable, as is familiarity with administrative procedures and organizational structures within NATO.
Languages: Fluency in English is mandatory, with candidates required to demonstrate proficiency in listening, speaking, reading, and writing. A language test will be administered to assess candidates' abilities. Knowledge of additional languages may be considered an asset but is not mandatory.
Additional Notes: The successful candidate will receive a three-year definite duration contract, which may lead to an indefinite duration contract. The position is classified at NATO Grade G-8, with a basic monthly salary of Euro 3,683.48, subject to deductions for pension and medical insurance. Candidates must be nationals of a NATO member country, aged between 21 and 60 at the time of appointment, and must obtain NATO security clearance and medical approval. The work environment is a standard NATO office, with normal working conditions and no risk of injury.
