Job Overview:
The Program Coordinator for the Europe, Middle East, and East Asia (EMEEA) team will manage, coordinate, implement, and maintain various projects and activities throughout the lifecycle of grants and contracts. This role serves as a primary investment process advisor and contact for grantee/vendor initiation, reporting, and closure. The coordinator will also support the development of team and Global Policy & Advocacy (GPA) division process improvements, ensuring efficient operations in collaboration with colleagues in Seattle. This limited-term position is based in London and will last until December 31, 2027, without relocation support.

Duties and Responsibilities:
The Program Coordinator will be responsible for several key areas:
  • Grants and Contracts Administration: Collaborate with Program Officers, grantees, and business partners during the early stages of grant-making, including sending requests for proposals and managing submission deadlines.
  • Grant and Contracts Coordination: Oversee the development, management, and closure of grants, including tracking invoicing and deliverables, and ensuring compliance with reporting requirements.
  • Data Input, Management, and Analysis: Manage data for all grants and contracts across multiple databases and SharePoint sites, ensuring data integrity and conducting financial analyses to support decision-making.
  • Portfolio Management: Monitor and manage the progress of the portfolio against payout targets, tracking programmatic goals and results, and developing relationships with key partners.
  • Partner Liaison: Act as the primary support for grantee/vendor initiation and serve as a liaison across internal teams, ensuring high-quality communication.
  • Subject Expertise: Provide training and support on processes, tools, and systems to ensure successful adoption and sustained use within the program team and external partners.

Required Qualifications:
Candidates should possess a Bachelor’s degree or equivalent demonstrated experience. Preferred qualifications include project management, portfolio management, financial management, and experience in the non-profit sector or related industries. Knowledge of grant-making processes and budgeting is advantageous. Candidates should also have strong analytical skills, excellent organizational abilities, and the capacity to work independently and collaboratively within diverse teams.

Educational Background:
A Bachelor’s degree is required, with a preference for candidates who have relevant experience in project management or related fields. Equivalent demonstrated experience may also be considered in lieu of formal education.

Experience:
The position requires prior experience in a support or coordination role, preferably within highly matrixed teams. Experience in grant-making and knowledge of financial management and reporting are highly desirable. Candidates should be adept at managing multiple projects and deadlines, demonstrating flexibility and adaptability in a dynamic work environment.

Languages:
Fluency in English is mandatory, with excellent verbal and written communication skills. Additional language skills may be considered an asset but are not explicitly required for this position.
