Job Overview: The Senior Operations Assistant position is situated within the Regional Cooperation and Integration Unit (SERC) of the Southeast Asia Department (SERD) at ADB. This role is pivotal in providing operational, administrative, and logistical support to SERC, which focuses on regional cooperation programs such as the Greater Mekong Subregion (GMS). The Senior Operations Assistant will be responsible for managing schedules, coordinating mission travels, and preparing various documents including correspondence, presentations, and meeting materials. The role also involves maintaining filing systems and ensuring the accuracy of administrative data. The successful candidate will play a crucial role in supporting the daily operations of SERC projects and technical assistance activities, contributing to the overall mission of ADB to foster prosperity in Asia.
Duties and Responsibilities: The duties and responsibilities of the Senior Operations Assistant include providing comprehensive administrative and operational support to SERC activities, managing schedules for the Regional Head and international staff, preparing routine correspondence and meeting materials, maintaining filing systems, and ensuring the organization of administrative records. The role also involves supporting the processing and monitoring of technical assistance projects under the GMS Program, providing secretariat support for various meetings and events, and facilitating communication and coordination within SERD units and with external partners. Additionally, the Senior Operations Assistant will contribute to workflow continuity by providing backup support during peak periods and will guide other administrative staff on processes and procedures.
Required Qualifications: Candidates must possess a Bachelor's degree in business administration or a relevant discipline, along with at least 5 years of relevant professional experience. The ideal candidate should demonstrate the ability to multitask, conduct background research, and analyze data effectively. Proficiency in office administration and relevant computer applications is essential, as well as excellent written and verbal communication skills in English. Familiarity with ADB's Competency Framework for TL2 is also required.
Educational Background: A Bachelor's degree in business administration or a related field is required for this position. This educational background provides the foundational knowledge necessary for effective administrative and operational support within the organization.
Experience: Candidates should have a minimum of 5 years of relevant professional experience. This experience should encompass administrative support, project coordination, and operational management, demonstrating the ability to handle complex tasks and work effectively in a team-oriented environment.
Languages: Proficiency in English is mandatory, with excellent written and verbal communication skills required for effective interaction within the organization and with external partners. Additional language skills may be considered an asset but are not mandatory.
Additional Notes: This position is a fixed-term appointment with an initial duration of up to 3 years, subject to renewal based on performance and organizational needs. Selected applicants will undergo a one-year probationary period. The role is full-time and based at ADB's headquarters in Manila, Philippines.
