Job Overview:
The Development Operations Assistant plays a crucial role in providing administrative and operational support to the Development team at WRI Indonesia. This hybrid position requires the individual to work in the office for 8 days per month, facilitating effective fundraising activities and ensuring compliance with organizational due diligence requirements. The assistant will be responsible for managing donor documentation, coordinating internal processes, and maintaining efficient workflows to support the Development team in delivering high-quality results. The role involves close collaboration with various internal teams and requires a commitment to integrating equity into the workplace and organizational culture, aligning with WRI's Diversity, Equity, and Inclusion (DEI) initiatives.

Duties and Responsibilities:
The Development Operations Assistant will undertake a variety of duties, including:
  • Administrative Compliance & Documentation (40%): - Maintain and regularly update WRI Indonesia's organizational due diligence documents, ensuring data accuracy for donor applications. - Coordinate the collection, review, and submission of required documents from donors and partners, tracking submission timelines to meet deadlines. - Maintain a centralized repository for credentials access related to proposal submissions. - Assist in preparing presentation materials and decks.
  • Operational & Administrative Coordination (40%): - Coordinate document routing, approvals, and signature processes for contracts and agreements. - Prepare necessary administrative documentation for donor registrations and online grant portals. - Organize meetings, maintain minutes, and monitor follow-up actions. - Liaise with internal functions such as Finance, HR, and Legal to gather required documentation for fundraising activities.
  • Administrative Process Improvement (20%): - Maintain trackers for due diligence requests and compliance deadlines. - Identify opportunities for improving document management systems and administrative workflows. - Develop standard templates and guidance documents to enhance operational efficiency.

Required Qualifications:
Candidates must possess a Bachelor’s degree in business administration, Finance, Economics, International Development, or a related field. A minimum of 2 years of relevant professional experience in administrative coordination, operations support, or fundraising is required. Familiarity with donor-funded projects and reporting requirements is preferred, along with experience in collaborative proposal development processes. Strong writing, editing, and proofreading skills are essential, as well as proficiency in Microsoft Office Suite and experience with document management systems.

Educational Background:
A Bachelor’s degree in a relevant field such as business administration, Finance, Economics, or International Development is required for this position. This educational background provides the necessary foundation for understanding the complexities of administrative coordination and operations support within a development context.

Experience:
The position requires a minimum of 2 years of relevant professional experience. This experience should include administrative coordination, operations support, project support, or fundraising roles. Candidates with direct experience working on donor-funded projects and familiarity with donor reporting requirements will be preferred. Experience in managing administrative documentation and compliance processes is also essential.

Languages:
Proficiency in English and Bahasa Indonesia, both written and verbal, is mandatory for this position. This bilingual requirement ensures effective communication with diverse stakeholders and enhances collaboration within the organization.
