Job Overview:
The National Consultant – ASEAN Coordination and Administrative Support position is crucial for providing coordination, operational, and administrative support to UN Women Indonesia in relation to ASEAN activities. The consultant will report to the Representative and Liaison to ASEAN and will work closely with the Programme and Operations unit in the Country Office (CO) and Regional Office (RO), as well as with UN Women Headquarters. The primary objective of this role is to ensure effective communication and collaboration with ASEAN Sectoral Bodies, facilitating the alignment of program activities with ASEAN priorities. The consultant will also be responsible for managing various administrative processes, ensuring compliance with UN Women rules and regulations, and contributing to the overall success of ASEAN-related initiatives.

Duties and Responsibilities:
  • Coordination and Liaison with ASEAN Stakeholders: The consultant will support the preparation and dissemination of official communications, invitations, and correspondence with ASEAN stakeholders. Regular follow-up with ASEAN Sectoral Bodies will be necessary to ensure that program activities align with ASEAN priorities and processes.
  • Operational and Administrative Support: The consultant will assist with procurement, travel arrangements, and financial and administrative processes necessary for program implementation. This includes managing consultants and suppliers related to ASEAN matters and ensuring proper documentation and filing of project-related materials.
  • Knowledge Management and Reporting: The consultant will document key discussions, outcomes, and follow-up actions from ASEAN-related meetings and activities, contributing to internal reporting within the organization.
  • Other Support: Additional operational, financial, and administrative support will be provided as required to facilitate the effective implementation of ASEAN-related initiatives.

Required Qualifications:
The position requires completion of secondary education as a minimum, with a Bachelor’s degree in Business or Public Administration considered an asset. Candidates should possess strong organizational skills and the ability to manage multiple tasks effectively. Knowledge of UN Women’s operational procedures and familiarity with ASEAN processes will be beneficial. Candidates must demonstrate integrity, professionalism, and respect for diversity in their work.

Educational Background:
Candidates must have completed secondary education, with a Bachelor’s degree in Business or Public Administration being an asset. This educational background will provide the necessary foundation for understanding the operational and administrative functions required in this role.

Experience:
Candidates should have at least 5 years of progressively responsible experience in coordination, operational, financial, and administrative support or program management. Proven experience in coordinating high-level consultative workshops for ASEAN government representatives and civil society organizations is essential. Experience working in a multicultural team and familiarity with office software packages are also required. Previous work experience with high-level government officials in ASEAN will be a strong asset, as will experience using Quantum and Unall systems.

Languages:
Excellent written and oral communication skills in English are mandatory for this position. Proficiency in additional languages relevant to the ASEAN region may be considered an asset, enhancing the consultant's ability to engage with diverse stakeholders effectively.

This consultancy is home-based, with the possibility of being requested to work from the office as needed. The position is designed to support the effective implementation of ASEAN-related initiatives, and candidates should be prepared for potential travel and engagement with various stakeholders.
