Job Posting Organization:
The United Nations Support Office in Haiti (UNSOH) was established to provide support primarily to the Gang Suppression Force (GSF), the United Nations Integrated Office in Haiti (BINUH), the Haitian National Police (HNP), and the Haitian Armed Forces. The office is also tasked with delivering technical assistance to the Organization of American States (OAS). Job Overview:
The Protocol Assistant position is a temporary role based in the UNSOH office in Santo Domingo, reporting directly to the Chief of Operations and Resource Management (CORM). The primary function of this role is to facilitate communication and coordination between UNSOH officials and local authorities, ensuring that all protocol duties are met effectively. This includes preparing official documents, managing visa processes for personnel and visitors, and liaising with the Dominican Republic government and diplomatic community. The Protocol Assistant will also support the organization of official events and meetings, ensuring that all logistical arrangements are in place and that the needs of senior officials are met. This role requires a high level of professionalism, attention to detail, and the ability to work under pressure while maintaining effective communication with various stakeholders.

Duties and Responsibilities:
The Protocol Assistant will be responsible for a range of duties, including:
  • Arranging meetings between UNSOH officials and local authorities, and managing protocol duties for leadership and senior officials.
  • Preparing official request documents and processing multi-level visa applications for UNSOH personnel, GSF personnel, VIPs, and official visitors.
  • Liaising with the Dominican Republic government and diplomatic community regarding appointments and meetings.
  • Communicating with the State Protocol of the Dominican Republic during official events and ceremonies.
  • Facilitating travel arrangements for senior mission staff, including access to VIP lounges and immigration formalities.
  • Identifying and visiting venues for meetings and events to ensure appropriate arrangements are made.
  • Preparing seating arrangements for ceremonies and meetings hosted by senior leadership.
  • Supporting logistical requirements for ceremonies and protocol tasks.
  • Managing incoming and outgoing official documents and maintaining a database of document transactions. 1
  • Keeping an updated mailing list and contact information for relevant government and diplomatic entities.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A minimum of eight years of experience in protocol, public information, diplomacy, conflict resolution, coordination, administration, travel assistance, or information management is required. Experience in supporting high-level visits of senior public officials is essential, as is experience working in a United Nations field operation or similar international organization in a conflict or post-conflict setting. Additionally, experience in organizing events in an international context and maintaining databases is desirable.

Educational Background:
A high school diploma or equivalent is the minimum educational requirement for this position. While no specific higher education qualifications are mandated, additional certifications or training in protocol, international relations, or related fields may be advantageous.

Experience:
The position requires a minimum of eight years of relevant experience. Candidates should have a proven track record in protocol and administrative support, particularly in high-pressure environments. Experience in the United Nations system or similar international organizations is highly desirable, especially in roles that involve coordination and communication with government entities and diplomatic missions.

Languages:
For this position, proficiency in English and Spanish is required, with a minimum UN Level III proficiency in reading, writing, listening, and speaking. Knowledge of French is considered an asset, as it is one of the working languages of the United Nations Secretariat.

Additional Notes:
This is a temporary position available for three months, pending formal approval of funding and staffing structures.
