Job Overview:
The Programme Assistant (Research Assessment and Monitoring - RAM) position at WFP involves providing administrative support to the RAM team, which is responsible for delivering analytical evidence to guide WFP's operational response in Senegal. The role requires the assistant to manage the WFP hotline, serve as a liaison between field monitors and central units, and ensure effective communication and information sharing. Duties and Responsibilities:
The specific duties and responsibilities of the Programme Assistant include:
  • Managing the daily operations of the WFP hotline, ensuring timely reporting and communication with the Programme and RAM units.
  • Handling administrative and financial tasks related to the RAM unit, including processing documents and maintaining records.
  • Organizing internal meetings and events, taking notes, and preparing reports as needed.
  • Overseeing corporate information systems (COMET, Databridge, MoDA) to ensure data accuracy and accessibility for staff.
  • Building and maintaining relationships with other units and external partners to facilitate information sharing and service delivery.
  • Supporting the unit in monitoring partnerships and managing partner payments.
  • Acting as a liaison between the RAM unit and field monitors to ensure effective communication and data sharing.
  • Collecting data and performing simple analyses to support effective information management.
  • Performing any other related tasks as assigned by the supervisor.

Required Qualifications:
The required qualifications for the Programme Assistant position include:
  • Completion of secondary education in a relevant functional area, with at least five years of experience in management, administration, logistics, or related fields.
  • Proven experience in administrative tasks such as managing hotlines, scheduling, document preparation, record-keeping, and correspondence management.
  • Familiarity with internal financial management systems (WINGS) and contract management systems (COUPA).
  • Strong organizational skills to coordinate meetings, events, and associated logistics.
  • Ability to analyze data, prioritize tasks, and manage deadlines effectively.
  • Excellent written and verbal communication skills, including the ability to draft professional emails, reports, and documents.
  • Proficiency in Microsoft Office tools and a good understanding of common procedures and methods for completing assigned tasks with minimal supervision.
  • Ability to demonstrate tact and courtesy in interactions with diverse individuals and to identify and resolve data discrepancies as needed.

Educational Background:
The educational background required for this position includes the completion of secondary education. Candidates with further education in relevant fields such as management, administration, or logistics will be preferred. A strong foundation in these areas is essential for effectively supporting the RAM unit's operations and contributing to WFP's mission.

Experience:
Candidates should possess a minimum of five years of relevant experience in management, administration, or logistics. Experience in humanitarian or development contexts is highly desirable, as it provides valuable insights into the operational challenges faced by WFP and its partners. Languages:
Fluency in French (level C) is mandatory for this position, as it is the primary language of communication within WFP in Senegal.
