Job Overview:
In the role of Business Support Assistant, you will play a crucial part in the daily planning and delivery of quality, customer-focused administrative services that support the operations of WFP in Ukraine. This position is integral to ensuring that the staff can effectively deliver food assistance to beneficiaries in alignment with WFP’s strategic goals. You will serve as the primary point of contact for the products and services teams, reporting directly to the Head of Travel Unit and the Head of Management Services. Your contributions will directly impact the efficiency and effectiveness of WFP’s operations in a challenging environment, particularly in light of the ongoing conflict in Ukraine, which has severely affected food production and supply chains.

Duties and Responsibilities:
As a Business Support Assistant, your responsibilities will include: providing administrative support to the Kyiv Country Office staff, acting as a liaison between WFP staff and local partners regarding events and maintenance needs, maintaining electronic filing systems and ensuring that documents and records are organized and accessible, coordinating travel arrangements including flight reservations and ticket issuance, assisting with protocol matters and UN staff privileges, facilitating vendor registration processes, and managing routine administrative tasks across various functional areas. You will also be expected to perform data analysis and other related duties as required, contributing to the overall management of resources and supporting the operational needs of the organization.

Required Qualifications:
To qualify for this position, candidates must possess a secondary school education, with a post-secondary certificate in Business/Public Administration or a related field being an asset. Additionally, candidates should have proven theoretical and practical knowledge of national rules, regulations, and policies in administration, along with experience in providing administrative support and leading projects. The ability to apply this knowledge effectively in various activities is essential for success in this role.

Educational Background:
Candidates are required to have completed secondary school education. A post-secondary certificate in Business/Public Administration or a related field is preferred, as it relates to office management and administration. This educational background will provide the foundational knowledge necessary for the administrative tasks associated with the position.

Experience:
The ideal candidate should have at least four years of progressively responsible experience in general administrative work. However, post-secondary education can compensate for some years of experience. For instance, candidates with a Master’s Degree may qualify with one year of relevant work experience, while those with a Bachelor’s Degree may qualify with two years of experience. This flexibility allows for a range of applicants with varying educational backgrounds to be considered for the role.

Languages:
Fluency in both English and Ukrainian is mandatory for this position, with a proficiency level of C being required. This bilingual capability is essential for effective communication within the diverse environment of WFP and for interacting with local partners and beneficiaries. Additional language skills may be considered an asset but are not mandatory.

Additional Notes:
This position is offered under a Service Contract for a duration of 12 months, with the possibility of renewal. It is specifically open to Ukrainian nationals or residents of Ukraine who possess a legal work permit.
