Job Overview:
The coordinator" style="border-bottom: 1px dotted #007bff !important;">Administrative Coordinator position within the Asia and Pacific Department's Pacific Islands Division is a critical role that involves a variety of office duties and support functions. The selected candidate will work closely with the Division Chief and will be responsible for coordinating the workflow of the division, overseeing the work plans of divisional coordinators, and ensuring that the output meets the required quality and deadlines. This role requires a proactive approach to managing administrative tasks, providing logistical support for mission teams, and facilitating communication within the division and with external stakeholders. The Administrative Coordinator will also play a key role in document management, ensuring that all correspondence and reports are accurately drafted, edited, and formatted according to IMF standards. The position demands strong organizational skills, attention to detail, and the ability to prioritize tasks effectively in a fast-paced environment.

Duties and Responsibilities:
The Administrative Coordinator will have a comprehensive set of responsibilities, including but not limited to: participating in the drafting of documents by integrating text, tables, and charts from various sources; proofreading and editing documents for grammar, spelling, and formatting; providing administrative and logistical support for mission teams; organizing and maintaining physical and electronic document repositories; tracking and extracting data from various databases; reviewing and distributing incoming and outgoing documents; monitoring email communications and managing deadlines; providing technical support to colleagues on office systems and software; organizing meetings, seminars, and conferences; disseminating administrative policies; and maintaining spreadsheets for tracking administrative processes. The role requires a high level of initiative and the ability to anticipate and resolve competing priorities effectively.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, supplemented by at least four years of relevant experience in an administrative role. Strong organizational and communication skills are essential, along with proficiency in office productivity software and familiarity with office automation technologies. The ability to work collaboratively in a team environment and to manage multiple tasks simultaneously is crucial. Candidates must also demonstrate a commitment to maintaining confidentiality and professionalism in all interactions.

Educational Background:
The minimum educational requirement for this position is a high school diploma or equivalent. Additional qualifications or certifications in office administration or related fields may be beneficial but are not mandatory. Candidates with further education, such as an associate's or bachelor's degree, may be viewed favorably, particularly if they have relevant coursework or training in administration or business management.

Experience:
The position requires a minimum of four years of relevant administrative experience. Candidates should have a proven track record of managing office tasks, supporting teams, and handling correspondence in a professional setting. Experience in a similar role within an international organization or governmental agency is preferred, as it demonstrates familiarity with the unique challenges and requirements of such environments.

Languages:
Proficiency in English is mandatory, as all communications and documentation will be conducted in this language. Knowledge of additional languages, particularly those relevant to the Asia-Pacific region, would be considered an asset but is not required for this position.

This position is open only to candidates currently residing in the Washington DC metro area. Candidates must have passed the IMF Staff Assistant online exam within the past 12 months to be considered for this role. The position may be filled as a regular staff appointment or a term staff appointment, depending on the selected candidate's current employment status with the IMF.
