Job Overview: The Assistant (e) à la logistique – Commodity accounting & Funds position is crucial for the effective implementation of standardized logistics and supply chain support procedures and activities. The role is designed to ensure the timely provision of goods and services across all modalities of execution. The successful candidate will be expected to assist in various logistical operations, ensuring compliance with established procedures while facilitating the delivery of food assistance to beneficiaries. This position requires a proactive approach to problem-solving and a strong commitment to customer service, as the assistant will be the first point of contact for logistical inquiries and support. The role also involves budget management, inventory oversight, and data integrity, making it essential for the candidate to possess strong analytical skills and attention to detail. Duties and Responsibilities:
Assist in executing logistics operations and support activities in accordance with standard procedures, facilitating the delivery of food assistance to beneficiaries.
Help in ordering and timely delivery of goods and supplies to authorized partners and sites.
Manage contractual activities of logistics service providers, including performance monitoring and evaluation.
Respond to various technical inquiries and requests for assistance, ensuring adherence to standard procedures and seeking advice when necessary to address inquiries promptly and accurately with a strong customer service orientation.
Contribute to the establishment, monitoring, and revision of budgets for all modalities of execution, ensuring compliance with applicable procedures according to institutional rules.
Assist in supervising inventory management operations to analyze trends and report on stock status from source to beneficiary.
Help manage the quality and integrity of data related to commodity accounting.
Support operational supply chain analysis, assessments, and operational planning for all modalities of execution.
Process documentation related to logistics operations (customs clearance, invoice verification), taking necessary actions to resolve operational issues and escalate various problems to the supervisor. 1
Collect and compile data, prepare reports or contribute to their preparation (product committee reports, transport and insurance reports, standardized project reports, financial closure, physical inventory, or transport performance reports, for example) and ensure the accuracy of information in internal systems to facilitate informed decision-making. 1
Liaise with internal stakeholders and a limited number of external stakeholders to help manage logistics operations efficiently. 1
Provide guidance to other support staff to assist them in carrying out routine tasks in accordance with agreed standards and deadlines.
Required Qualifications: The ideal candidate should possess a minimum of five (5) years of relevant experience in logistics and supply chain management. Familiarity with internal systems used for tracking ongoing shipments, supplies, claims, and food stocks is essential. The candidate should have experience in data analysis (related to commodities, funds, etc.) and report preparation. Additionally, experience in evaluating service provider performance against defined key performance indicators and assisting in the preparation of contractual documents is required. The candidate should also have experience in providing technical assistance in the use of internal systems, demonstrating a comprehensive understanding of logistics operations.
Educational Background: A minimum educational requirement for this position is the completion of secondary education. A post-secondary certificate in a relevant functional area is desirable, providing a foundational understanding of logistics and supply chain principles.
Experience: Candidates should have at least five (5) years of relevant experience in logistics and supply chain management, demonstrating a solid track record of success in similar roles. This experience should include familiarity with logistics operations, inventory management, and data analysis, as well as the ability to work collaboratively in a team environment.
Languages: Fluency in French (level C) is mandatory for this position, as it is the primary language of communication within the organization and with local stakeholders. Proficiency in English or other languages may be considered an asset, enhancing the candidate's ability to engage with diverse teams and partners.
Additional Notes: This position is offered on a fixed-term contract for a duration of 12 months, with one position available under a fixed-term contract and another under a service contract.
