Job Overview:
The Project Assistant position at UN Women is crucial for providing administrative support to the implementation of various projects under the Women, Peace and Security and Disaster Risk Reduction portfolio. The role involves close collaboration with the programme and operations team of UN Women Georgia Country Office, as well as with partners and responsible parties, to ensure the successful execution of projects and the achievement of planned results. The Project Assistant will be responsible for a range of administrative tasks, including logistical support for programme formulation and management, financial management of the Programme Unit, and resource mobilization efforts. The position requires a proactive approach to problem-solving and effective communication skills to facilitate knowledge sharing and capacity building among office personnel and partners. The Project Assistant will also play a key role in organizing meetings, workshops, and events, ensuring that all logistical and administrative arrangements are handled efficiently. This position is integral to the overall functioning of the office and the successful implementation of UN Women's initiatives in Georgia and the South Caucasus.

Duties and Responsibilities:
The Project Assistant will undertake a variety of duties and responsibilities, including but not limited to:
  • Providing administrative and logistical support for the formulation and management of programmes, including assisting in the preparation of work plans, budgets, and proposals, and tracking the delivery of funds.
  • Supporting executing partners and responsible parties with routine delivery and reporting of programme activities and finances.
  • Assisting in the audit of programmes/projects and implementing audit recommendations.
  • Gathering and compiling data and information for the preparation of documents, guidelines, speeches, and position papers in collaboration with the Programme team.
  • Offering administrative support for financial management, including creating projects in the Quantum system, preparing budget revisions, and monitoring project finances.
  • Organizing logistical arrangements for meetings, workshops, events, and missions, including travel arrangements for the Programme Team.
  • Drafting minutes of meetings and assembling briefing materials for presentations.
  • Supporting resource mobilization by organizing and processing documentation and information from donors.
  • Facilitating knowledge building and sharing by organizing training sessions for office personnel and partners. 1
  • Performing other duties as necessary for the efficient functioning of the office and the organization.

Required Qualifications:
The position requires a minimum of secondary education, with a Bachelor's degree in business or public administration being desirable. Candidates must possess at least 5 years of progressively responsible experience in administrative or programme management/support, or 2 years of experience if they hold a Bachelor's degree. Proficiency in using multiple office software packages in a computer environment is essential. Experience in the use of ERP systems, preferably Oracle Cloud, is desirable, along with work experience in gender equality and women's empowerment. Candidates should have strong experience in preparing budgets, work plans, and implementation plans, as well as in providing project support and coordinating activities with NGOs, UN agencies, or other international organizations. Knowledge of UN Women/UNDP procurement and financial rules is an additional advantage, as is experience in preparing presentations and administrative documentation for projects.

Educational Background:
Candidates must have completed secondary education as a minimum requirement. A Bachelor's degree in business or public administration is preferred and considered desirable for this position.

Experience:
The role requires at least 5 years of progressively responsible experience in administrative or programme management/support. If the candidate holds a Bachelor's degree, a minimum of 2 years of relevant experience is acceptable. Experience in a computer environment using multiple office software packages is mandatory, while experience with ERP systems, particularly Oracle Cloud, is desirable. Candidates should also have experience in the field of gender equality and women's empowerment, as well as in providing project support and coordination with NGOs, UN agencies, or other international organizations.

Languages:
Fluency in English and Georgian is required for this position. Proficiency in additional languages may be considered an asset but is not mandatory.
