Job Overview:
In the role of Officer in the President’s Office, you will provide high-level administrative and logistical support to facilitate the work of the President/CEO. This position is unique and cross-functional, offering a close view of organizational leadership and governance. It requires exceptional judgment, meticulous attention to detail, and the ability to manage sensitive information with discretion. Your responsibilities will include ensuring the smooth and efficient operation of the President’s Office, which is vital for the overall functioning of the organization. Duties and Responsibilities:
The Officer in the President’s Office will have a diverse set of responsibilities, including:
  • Meeting & Briefing Preparation: Collecting, organizing, and assembling briefing materials for the CEO's engagements, ensuring completeness and timeliness.
  • Email & Communication Management: Overseeing the CEO’s email inbox, prioritizing correspondence, and drafting responses.
  • Calendar & Scheduling Management: Coordinating meetings for the President/CEO, managing calendars, and resolving scheduling conflicts.
  • Travel Coordination: Arranging travel logistics for the CEO, including flights, accommodations, and itineraries.
  • Executive Board & Governance Support: Liaising with Executive Board members to prepare meeting materials and support logistics for board meetings.
  • Event & Retreat Management: Planning and executing executive retreats, including venue selection and logistics.
  • Cross-Functional Coordination: Collaborating with C-suite executives and senior leadership to support organizational priorities.
  • Operations, Finance & Administrative Support: Processing expense reports and managing supplies for the President’s Office.
  • Conference & External Engagement Support: Coordinating conference participation and managing related logistics. 1
  • Additional Duties: Performing other administrative tasks as needed while maintaining confidentiality.

Required Qualifications:
Candidates should possess a Bachelor's degree or equivalent relevant experience. A minimum of 3-6 years of relevant work experience in a fast-paced environment is required, with a proven track record of high performance and increasing responsibilities. Prior experience as an administrative assistant is essential, and experience in a non-profit business development department is a plus. Familiarity with working alongside high net-worth individuals and senior partners is also advantageous. The ideal candidate will have experience managing communications and priorities at the executive level, demonstrating strong organizational skills and attention to detail.

Educational Background:
A Bachelor's degree is preferred for this position, although equivalent relevant experience will also be considered. The educational background should ideally include coursework or training that supports the administrative and logistical functions required in this role.
