Job Overview:
The logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer plays a crucial role in ensuring effective and efficient logistics support services within the organization. This includes overseeing procurement, transport and fleet management, stock and asset management, and providing general logistics support to field programs. The officer is responsible for ensuring that all logistics operations comply with organizational policies, donor regulations, and local laws. Additionally, the Logistics Officer supports access, safety, and security" style="border-bottom: 1px dotted #007bff !important;">security management, ensuring that logistics operations are conducted in a manner that promotes safety and security for all staff and beneficiaries. This position requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders to ensure smooth logistics operations.

Duties and Responsibilities:
The Logistics Officer's duties encompass a wide range of responsibilities, including:
  • Procurement & Supply Chain Management: Processing procurement requests, ensuring timely and transparent purchasing, maintaining supplier records, and supporting framework agreements.
  • Fleet & Transportation Management: Managing vehicle movement planning, ensuring proper vehicle logbook maintenance, monitoring fuel consumption, and coordinating vehicle servicing.
  • Asset & Inventory Management: Ensuring proper tagging and recording of organizational assets, conducting physical verifications, and tracking equipment movements.
  • Warehouse & Stock Management: Supervising the receipt, storage, and dispatch of goods, maintaining accurate stock records, and ensuring warehouse safety.
  • Office & Facility Support: Supporting office maintenance, ensuring availability of supplies, and liaising with service providers.
  • Reporting & Documentation: Maintaining logistics documentation, preparing monthly reports, and participating in audits.
  • Access, Safety and Security Management: Supporting safety and security management, adapting policies for field implementation, and ensuring compliance with security standards.
  • Humanitarian Access Management: Analyzing security contexts, developing access mapping, and conducting reviews.
  • Monitoring, Analysis and Supervision: Providing context updates and recommendations for security focal points. 1
  • Briefings, Training and Capacity Building: Facilitating training for staff and visitors on security protocols. 1
  • Representation and Coordination: Liaising with local authorities and coordinating situational information gathering.

Required Qualifications:
The position requires a Bachelor’s degree in Logistics, Supply Chain Management, Procurement, Business Administration, or a related field. Candidates must have a minimum of 4 years of experience in logistics, preferably within an NGO or international organization. A strong knowledge of procurement, inventory, and fleet systems is essential, along with proficiency in Microsoft Office applications. Experience with logistics software or ERP systems is considered an advantage. Candidates should possess excellent organizational and time management skills, strong communication and interpersonal abilities, and the capacity to work under pressure with minimal supervision. A high level of integrity and commitment to professional ethics is also required.

Educational Background:
Candidates must hold a Bachelor’s degree in a relevant field such as Logistics, Supply Chain Management, Procurement, or Business Administration. This educational background provides the necessary foundation for understanding the complexities of logistics and supply chain operations within a humanitarian context.

Experience:
The ideal candidate should have at least 4 years of relevant experience in logistics, with a preference for those who have worked in NGOs or international organizations. This experience should encompass various aspects of logistics management, including procurement, fleet management, and inventory control, ensuring that the candidate is well-equipped to handle the responsibilities of the Logistics Officer role.

Languages:
Fluency in English is mandatory, and proficiency in Swahili is also required. Candidates who are bilingual in these languages will have a distinct advantage, as effective communication is crucial in this role, particularly in a multicultural environment where diverse stakeholders are involved.

Additional Notes:
This position is full-time and requires regular attendance at the country office, with a minimum of five days per week. The Logistics Officer must be available to work outside normal office hours or on weekends as needed. The role may involve supervising drivers, interns, and casual laborers.
