Job Overview: The Grants Specialist position at DRC is a critical role that involves overseeing the grants management for the Venezuela Country Office (CO) portfolio. This position is essential for ensuring compliance with donor regulations and DRC's internal policies. The Grants Specialist will be responsible for effective proposal development, timely reporting, and maintaining accountability to donors. The role requires close collaboration with various stakeholders, including the Head of Programme, Support Services Managers, Technical Coordinators, and the Senior Management Team. The Grants Specialist will play a vital role in managing grants from inception to completion, ensuring that all contractual obligations are met and that the organization maintains a strong relationship with its donors. This position is based in Caracas, Venezuela, and is integral to the success of DRC's operations in the region.
Duties and Responsibilities: The Grants Specialist will have a comprehensive set of responsibilities, including but not limited to:
Daily Grants Management and Administration: - Ensure high-quality contract management in collaboration with the Senior Management Team (SMT), identifying potential risks and implementing mitigation strategies. - Communicate with donors and prepare necessary modification requests and contractual documentation. - Coordinate and facilitate meetings for grant kickoff, review, and closing, monitoring progress against timelines and action points. - Maintain and update DRC's Grants Management Card on Dynamics and internal documentation systems, ensuring high-quality project-grant data. - Review and update the grants tracker, ensuring regular communication with regional offices, headquarters, and field teams.
Compliance Monitoring and Quality Assurance: - Act as the Grants/Contract Management Donor Compliance Focal Point, ensuring understanding of contractual obligations and regulations. - Provide advice on DRC Grants Management Volume and Donor Compliance matters, raising any risks to the relevant SMT member. - Conduct quality control on all contracts before signature and ensure that contractual obligations and reporting deadlines are met. - Troubleshoot gaps in deliverables and seek advice from DRC HQ Program Department on potential solutions. - Lead on contract amendments and actively participate in Global Grants Community Meetings.
Reporting and New Business Development: - Coordinate training in proposal development and reporting for grants and program teams. - Work with the Head of Programme to update donor mapping and funding tracker, focusing on diversifying the funding portfolio. - Maintain communication with donors and participate in external coordination and fundraising meetings. - Collaborate with program technical coordinators and partners to gather input for proposal development and ensure high-quality submissions. - Assist in communication and negotiations with donors and external stakeholders.

Required Qualifications: The ideal candidate for the Grants Specialist position will possess the following qualifications: - Excellent communication and interpersonal skills, with the ability to build relationships with internal and external stakeholders. - A minimum of 3 years of experience in grants management, preferably with an international NGO or donor-funded organization. - Knowledge and experience in multiple sectors, including protection, food security, and livelihoods. - Proficiency in Microsoft Office and relevant software, including Word, Excel, and PowerPoint. - Solid experience in compiling donor proposals, modification requests, and reports, particularly with UNHCR, SIDA, ECHO, GFFO, VHF, and private foundations. - Familiarity with donor rules and regulations, and the ability to prioritize large workloads while meeting deadlines in a complex work environment. - Strong coordination, influencing, and interpersonal skills, with a commitment to humanitarian principles and DRC values.
Educational Background: Candidates must hold a University Degree in Social Sciences, International Development, or relevant fields. This educational background is essential for understanding the complexities of humanitarian work and the specific challenges faced by displaced populations.
Experience: Candidates should have at least 3 years of relevant experience in grants management, ideally within an international NGO or a donor-funded organization. This experience should include a solid understanding of the various sectors in which DRC operates, as well as practical experience in working with multiple donors and managing complex grants.
Languages: Fluency in English (speaking, writing, reading) is essential for this position. Additionally, communication skills in Spanish are mandatory, as the role requires interaction with local stakeholders and partners.
