Job Overview: The Business Analyst (Project Management Support) position is integral to the successful delivery of the CDI FFPO Project, which aims to modernize ICAO's operational model. The role involves supporting various project management functions, including planning, coordination, documentation, analysis, and reporting. The Business Analyst will work across multiple workstreams to ensure disciplined project execution and timely delivery of outputs. This position requires a proactive approach to project management, with a focus on maintaining project documentation, coordinating meetings, and facilitating communication among stakeholders. The Business Analyst will also be involved in organizational design and business analysis activities, ensuring that the project aligns with ICAO's strategic goals and operational requirements. Additionally, the role includes supporting change management initiatives and providing business systems and tool support relevant to project implementation.
Duties and Responsibilities: The Business Analyst will have a diverse set of responsibilities, including:
Supporting project planning and coordination by maintaining the integrated CDI FFPO project plan, preparing project documentation, coordinating project meetings, and assisting in the preparation of progress updates for executive sponsors.
Supporting organizational design and business analysis activities by documenting and analyzing current and future business processes, mapping existing roles to the future structure, and coordinating with HR to ensure alignment with classification standards.
Assisting in people transition and change management activities by implementing a change management plan, conducting impact assessments, and facilitating training and communication efforts.
Providing project reporting, monitoring, and control support by maintaining project RAID registers, preparing dashboards and status reports, and tracking progress against milestones.
Supporting business systems and tool administration, including managing JIRA project boards, maintaining the Confluence knowledge base, and ensuring effective use of project management tools.
Performing other related duties as assigned by the CDI FFPO Project Manager or OIC/CDI.
Required Qualifications: Candidates must possess an advanced university degree (Master’s degree or equivalent) in business administration, project management, public administration, business analytics, management information systems, human resources management, or a related field. Alternatively, a first-level university degree in the above fields, combined with two additional years of qualifying professional experience, may be accepted in lieu of the advanced degree. Additionally, project management certification such as PRINCE2, PMP, Agile, or Scrum is desirable, along with training or certification in business analysis, process improvement, or change management.
Educational Background: The educational background required for this position includes an advanced university degree (Master’s degree or equivalent) in relevant fields such as business administration, project management, public administration, business analytics, management information systems, or human resources management. A first-level university degree in these fields, combined with two additional years of qualifying professional experience, may also be accepted. Desirable qualifications include project management certifications and training in business analysis or change management.
Experience: Candidates should have a minimum of two years of progressively responsible experience in business analysis, project management support, organizational change, or process analysis. Essential experience includes preparing project documentation, plans, reports, and dashboards, as well as requirements gathering and process mapping. Proficiency in Microsoft Office applications, especially Excel, PowerPoint, and Word, is required, along with experience in JIRA and Confluence. Desirable experience includes supporting HR initiatives, familiarity with project collaboration tools, and experience in an international or public sector environment.
Languages: Fluent reading, writing, and speaking abilities in English are essential for this position. A working knowledge of any other language of the Organization, such as Arabic, Chinese, French, Russian, or Spanish, is considered desirable.
Additional Notes: This consultancy position is initially for six months with the possibility of extension. It is a full-time role requiring at least three days a week in the Montreal office. The monthly salary for Band B ranges from CAD 5,097 to CAD 8,12
