This role involves providing essential office services to ensure the smooth running of the organization. The Facilities Associate I will assist in setting up office spaces and conference rooms, manage postal operations, and perform routine office maintenance tasks. The individual will be responsible for maintaining office supplies and equipment, ensuring that office facilities are properly operated and maintained. Additionally, the role includes managing office relocations and supporting procedures for the operation of facilities and equipment in compliance with building codes and safety regulations. The Facilities Associate I will work closely with various teams to ensure that the office environment is conducive to productivity and collaboration, thereby playing a crucial role in the overall success of the organization.
Duties and Responsibilities: The Facilities Associate I will have a variety of responsibilities including responding to staff requests regarding office furniture and equipment, collaborating with management on space planning and major relocations, serving as the primary contact for external vendors related to construction, office furniture, appliances, and maintenance issues. The role also involves periodic inspections of common areas and offices to identify maintenance and renovation needs, assisting with mail and freight services for both national and international sites, and following procedures for international mail distribution. The Facilities Associate I will order and maintain stock levels of office supplies, manage break room supplies and storage cabinets, and ensure the upkeep of office equipment such as copiers and fax machines. The individual will assist employees with office requests such as furniture arrangements, hanging artwork, and workstation setups, as well as archiving and maintaining documents. Other assigned tasks may also be required as needed.
Required Qualifications: Candidates for the Facilities Associate I position should possess a strong foundation in administrative support and office management.
