Job Overview:
The Programme Associate position at UN Women involves providing comprehensive support to the Spotlight Initiative Africa Regional Programme (SIARP 2.0), which aims to eliminate violence against women and girls across Africa. The role requires collaboration with various stakeholders, including country offices, executing agencies, and sister UN agencies, to ensure effective programme implementation. The Programme Associate will contribute to research, financial management, and operational support, ensuring that all activities align with UN Women’s rules and regulations. The position demands a proactive approach to administrative and logistical support, including the preparation of work plans, budgets, and proposals, as well as monitoring financial activities and reporting. The Programme Associate will also play a key role in knowledge sharing and capacity building within the organization and among partners.

Duties and Responsibilities:
The duties and responsibilities of the Programme Associate include:
  • Providing advanced administrative and logistical support for programme formulation and management, including preparing work plans, budgets, and proposals.
  • Offering technical guidance to country offices and executing agencies on the delivery and reporting of programme activities.
  • Coordinating the collection of information for audits and supporting the implementation of audit recommendations.
  • Developing and updating standard operating procedures and guidelines for programme management.
  • Monitoring financial management of the programme, including creating projects in the Quantum system, preparing budget revisions, and maintaining internal expenditure control systems.
  • Overseeing logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
  • Preparing public information materials and briefing packets, and liaising with high-level officials on administrative issues.
  • Supporting resource mobilization efforts by preparing agreements and processing information from donors.
  • Facilitating knowledge building and sharing best practices related to programme management and finance. 1
  • Performing other duties as necessary for the efficient functioning of the office.

Required Qualifications:
The required qualifications for the Programme Associate position include:
  • Strong knowledge of programme management principles and practices.
  • Ability to create, edit, synthesize, and present information in clear formats.
  • Proficiency in administering and executing administrative processes and transactions.
  • Experience in business process re-engineering and data management systems.
  • Excellent financial and budgeting skills, along with strong IT skills.

Educational Background:
The educational background required for the Programme Associate position includes the completion of secondary education as a minimum requirement. A Bachelor’s degree in business or public administration is desirable, as it provides a solid foundation for the administrative and programmatic responsibilities of the role.

Experience:
Candidates should have at least 7 years of progressively responsible experience in administration or programme management/support. Experience in a computer environment using multiple office software packages is essential, as is experience in supporting a team. Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is desirable, as it enhances the efficiency of programme management and financial reporting.

Languages:
Fluency in English is mandatory for this position, as it is the primary working language of UN Women. Knowledge of another official UN language, such as French, Arabic, Chinese, Russian, or Spanish, is considered an asset and may enhance communication with diverse stakeholders.
