Job Overview: The Finance Officer position is a critical role within the IRC Belgium office, reporting directly to the Head of Finance. The primary responsibility of the Finance Officer is to provide support in the accurate management and control of finances for both IRC Belgium and IRC Switzerland. This role encompasses a variety of financial tasks, including support for the HQ Accounts Payable and Accounts Receivable teams, as well as the Global Treasury teams. The Finance Officer will engage in regular communication with external stakeholders and IRC staff across the globe, making strong interpersonal skills essential for success in this position. The ideal candidate will be efficient, diplomatic, and possess the ability to effectively engage with senior staff, ensuring that financial operations run smoothly and efficiently.
Duties and Responsibilities: The Finance Officer will be responsible for a comprehensive set of duties, including but not limited to: preparing and reviewing journal entries and invoice journals in Microsoft D365, ensuring proper coding; reviewing and encoding staff travel expense reports; maintaining the accounting database and controlling all transactions throughout the month, initiating adjustments as necessary; supporting vendor payments and monitoring vendor accounts to ensure there are no outstanding payables or receivables; participating in the month-end closing process, which includes payroll journals, credit card reconciliation, invoices, and expense reports; supporting the maintenance of the fixed assets register; preparing monthly financial reports, bank reconciliations, and balance sheet reconciliations; assisting the Head of Finance in the preparation of annual financial statements; facilitating external and internal audits as needed and preparing all documents and samples requested by auditors; effectively communicating financial topics and facilitating discussions with both finance and non-finance staff, including conducting regular training for new staff members; fostering ongoing learning and promoting adherence to IRC policies and values; supporting communication with internal and external partners; performing other duties as needed, such as inventory maintenance, assisting colleagues with meeting organization, consulting staff on office supplies and workspace needs, and maintaining these accordingly; supporting ethical sourcing of items while considering sustainability and cost criteria; and providing ad-hoc support to the Global Treasury team on day-to-day activities, including assisting the HQ Accounts Payable team by pulling payment confirmations for global audits and weekly payment runs, and supporting the HQ Accounts Payable and Accounts Receivable teams by assisting with quarterly data reviews to ensure documentation quality.
Required Qualifications: Candidates must possess a strong proficiency in Microsoft Office Excel and have confirmed experience in accounting. They should demonstrate the ability to carry out work with a high degree of integrity while maintaining confidentiality. Precision and attention to detail are essential, along with the flexibility to work across different time zones. Strong interpersonal and communication skills are required, as well as the ability to manage workload and prioritize tasks according to agreed timelines. Excellent command of both English and French is mandatory for this position.
Educational Background: A degree in accounting, finance, or business is desirable for candidates applying for the Finance Officer position.
